ACS Clerical Resource Pool (CRP)/Ambulatory Care Educational Services (ACES)

Provides complex administrative and scheduling support for CRP and ACES teams. Creates and maintains calendars for ACES classes and CRP assignments in addition to scheduling meetings.

Front line receptionist for suite. Answers phones and directs calls and visitors appropriately. Responds to inquiries regarding highly sensitive and confidential material.

Maintains filing and record keeping systems. Exercises initiative, independent judgment, a service-oriented attitude, and follow-through in providing general administrative support to both the CRP and ACES teams. Excellent attention to detail and the ability to prioritize and to meet deadlines.

Communicates effectively with staff and other Ambulatory Care departments, supporting and maintaining positive relationships. Processes and maintains accurate payroll records. Provides reports on a regular basis such as attendance, PTO, and staff assignments.

Maintains unit staff personnel information for newly hired staff and updates existing information as needed. Advanced computer skills in Microsoft Office required. Maintains all personnel files in accordance to The Joint Commission standards. Responds and/or acts on behalf of managers when and where appropriate.

Required Qualifications*

In order to be considered for this position the applicant must have met or will have met all the required qualifications prior to the start of employment.

  • High school diploma or equivalent and 2-4 years of experience.

  • Must have exceptional written and verbal interpersonal communication skills.

  • Demonstrated experience delivering excellent customer service.

  • Strong organizational skills and the ability to successfully complete multiple tasks within established and changing deadlines is required.

  • Must be able to work independently with minimal supervision and as part of a dedicated team.

  • Ideal candidate will have experience working in a team oriented atmosphere and can manage a fast paced work environment with the ability to promote professional relationships within a team environment.

  • Attention to detail is essential. Must be proficient in use of PC and software including Microsoft Word, Excel, PowerPoint, Acrobat and Acrobat Reader

Desired Qualifications*

  • Knowledge of business and clinical workflows.

  • Associate's degree or equivalent combination of education and experience required but Bachelor's degree preferred.

  • Recommended competencies in Concur, Mmarketsite, M-Pathways, MLearning, MiChart Cadence, Dreamweaver, Snag-it, MS Publisher and Visio.

  • Knowledge of University policies and procedures.

Responsibilities* Responsibilities include, but are not limited to: 1. Providing administrative support to the Director of Clinical Hepatology and Assistant Dean for Clinical Research, Clinical Trials Support Office (CTSO). Complex meeting and travel arrangements including international itineraries; Interacting with various outside organizations and professional societies regarding conference and meeting planning. Full meeting facilitation including scheduling and invites involving multiple calendaring systems, doodle polls and working with administrative staff across the University; room reservations; communicating meeting details and agenda, video and teleconferencing, minute taking. 2. Providing administrative support for multiple senior- and junior-level faculty. Preparing biosketches, CVs and M-CVs, letters, PowerPoint slides and manuscripts – creating complex charts and graphs; Maintaining accurate electronic and physical files for each faculty; Complex calendaring; Expediting and monitoring clinic and endoscopy resource closings and openings; Arranging meetings and teleconferences; Reconciling P-Card transactions and creating expense reports through Concur; Creating non-PO vouchers and office orders via M-Pathways Financials and M-Marketsite; Uploading manuscripts to journals.
