The Infection Prevention & Epidemiology department is seeking a highly motivated Administrative Assistant Intermediate to join their team. Candidates for this position must have the knowledge, skills, abilities, and experience needed to provide responsible and effective administrative support in a fast-paced environment with ever-changing priorities. Key skills include: accuracy and attention to detail, the ability to problem-solve, excellent planning and project management skills, consistent and effective follow-through on all matters, high quality writing skills, excellent customer service and diplomacy and the ability to handle sensitive matters in a discreet manner.

Review and disseminate mail and email
Maintain mailing lists and complete scheduled mailings
Monitor and order office supplies within budget
Schedule appointments and meetings using Outlook and maintain departmental calendar
Manage calendars including, but not limited to, the IPE Director, the IPE Medical Director and IPE Manager
Schedule and arrange department and committee meetings, including:
setting up video conferencing
prepare and distribute materials
manage membership lists and groups
take and prepare minutes and attendance
set up room/order food as needed
Makes travel arrangements, including booking flights, arranging hotel accommodations and other related travel arrangements for all IPE staff
Arranges schedules for campus visitors, including preparing itineraries, scheduling meetings and appointments and arranging parking as directed
Completes financial tasks such as:
Purchasing card reconciliation
Prepare Concur expense reports
Process purchase orders/invoices
Preparation of cash receipts
Assists with special projects, event planning and coordination as assigned
Assists with other departmental documents, including but not limited to:
Posters and other promotions/presentations
Includes printing, faxing, addressing, and mailing documents as needed
RL Risk report triage and entering info into system
Assist with communicable disease reporting
Maintain employee blue folders
Performs other duties and responsibilities as necessary to accomplish the goals of the department
A minimum of two (2) years; five (5) years preferred of administrative support experience in a fast-paced, customer service oriented environment.
Microsoft Office proficiency (Word, PowerPoint, Excel, and Outlook).
Candidate must have strong interpersonal skills and the ability to communicate effectively (both orally and in writing) with internal and external customers.
Candidate should possess attention to detail, ability to work independently and as team, and ability to multi-task.
Knowledge of University policies and procedures is preferred.
Experience with University systems, including MPathways, FinProd and Concur
Experience with Skype, Bluejeans, Zoom, or other video-conferencing systems?
This position may be underfilled at a lower classification depending on the qualifications of the selected candidate.
