Job Summary

Administrative Assistant to Neonatology & NICU duties

  • Provide administrative & secretarial support to the Medical Director of the NICU and the NICU manager

  • Schedule and provide Teams meeting for Neo group

  • Take & maintain meeting minutes for Neo staff meeting, Perinatal Committee, NICU Management Level III and other meetings as requested

  • Maintain and order office supplies for Neonatology

  • Schedule appointments and arrange meetings for Neonatology staff & NICU Manager

  • Communicate reminders and important information to Neonatology staff

  • Maintain NICU admission & Neo delivery attendance database in Microsoft Access

  • Pull data from database for MIEMSS certification and other data as requested by Neos & NICU

  • Complete & submit Neonatology payroll to Hopkins per their schedule

  • Assistance with credentialing Neo staff

  • Making sure all NICU billing is complete in order to give to HSP for submission (all necessary paperwork is attached and names & authorizations have been noted on sheets). Pull any missing paperwork.

  • Coordinate WVSOM medical student rotations

  • Keep track of dues dates (licensing etc) and send reminder to physicians when getting close to due date

  • Assist with monthly Neonatology schedule

  • Count cpap & vent days for NICU stats

  • Create forms, banners & flyers for NICU

  • Operate copier, scanner, fax as needed

  • Review and verify NICU master logbook vs your data to ensure no patients were missed

  • Maintain Mother-Baby classroom schedule

  • Assist NICU staff with computer issues

  • Payroll supervisor for edits for all of Women and Children staff payroll edits as the secondary.

  • Compile & distribute Pediatrician newborn nursery call schedule (to FMH departments and PC/FPA)

  • Assist with NICU reunion and March of Dimes walk

  • Put CBLs into the Learning Management System

  • Keep track of admission temperatures of NICU patients

  • Arrange interviews as necessary for Neo group.

Performs administrative and office support activities for senior level managers or directors. Duties may include fielding telephone calls, receiving and directing visitors, word processing, filing and faxing. Advanced software skills are required, as well as Internet research abilities and strong communication skills.

Minimum Education, Training, and Experience Required:

  • A two-year college degree or vocational training
  • A minimum of three years prior experience in an office setting; prior healthcare experience is required.

  • Lifting up to 15 pounds on an infrequent basis (less than one lift every three minutes). While work is mostly done sitting, a certain amount of walking or standing is often necessary.

M-F, 8.5 hours per day
