This position performs advanced administrative duties which include: performing the role of backup to Houston Provider Contracting Manager; maintaining up to date knowledge regarding inventories and processes; mentoring new staff in orientation and training of functions. This position is also responsible for ensuring quality of work and compliance of timeframes for general functions as well as their individual workload. This position will work closely with the team in establishing workflow processes, updating procedures, and communicating and implementing the changes in workflow. Our office is located 5 miles from the Galleria.

RESPONSIBILITIES

  • Monitor and train new and existing employees on workflows and system requirements.

  • Assist less seasoned employees as necessary.

  • Participate in staff meetings.

  • Complete additional tasks and projects as assigned.

  • Keeps the supervisor abreast of important developments, potential problems, and related information necessary for effective management. Makes recommendations of actions to consider.

  • Participates in various meetings to keep abreast of changes affecting the administrative staff and communicates changes in policies and procedures with the team.

  • Coordinates new clinical hire information, ensuring paperwork is properly filled out and system set-up has been completed. Coordinates training of all clinical new hires in the use of telephone and personal computer equipment and software.

  • Trains new administrative staff in the functions.

  • Coordinates and handles special projects with the administrative staff as directed.

  • Maintains office supply inventory and purchases supplies for the clinical departments.

  • Resolves problems with equipment not working properly.

  • Works with the appropriate staff to improve processes and create efficiencies in the workflow. Computerizes manual processes.

  • Must have good working knowledge of all administrative functions and perform duties to meet the demands of the workflow during vacations and absentee coverage periods.

  • Maintains on-line policy and procedure manual for all functions, updating as necessary.

  • Maintains up to date knowledge on requests and serves as the main point of contact.

  • Must have/obtain good working knowledge of the vendor management functions and processes, serving as a backup as needed

  • Maintains educational materials inventory stored on site

  • Communicates any changes and issues that affect the and manual fulfillment

  • Completes additional tasks and projects as assigned

  • Administrative skill level gained from at least three years experience, preferably in a managed care or health insurance organization

  • Strong organizational and communication skills; strong interpersonal skills and the ability to interact well with diverse personalities; detail-oriented.

  • Proficient and creative in the PC, using Microsoft Outlook, Work, Excel, and Power Point

  • Typing ability of 50 wpm.

  • Strong interpersonal skills; displays a positive team attitude and willingness to assist others when necessary.

  • Requires ability to communicate effectively, both orally and in writing, and apply judgment in interactions with internal staff, customers, and vendors.

  • Clear, concise and courteous telephone manner; portrays a professional image on the telephone and to visitors.

  • Genuine interest in people-oriented work; must display a positive and caring attitude towards others

The Medical Assistant Sr, under direct supervision, assists physicians and clinicians with patient care duties in a clinical environment. Promotes efficient patient flow and patient care, i.e. exams, and procedures. Performs clinic support tasks including miscellaneous clerical tasks, answering phones, and maintaining physicians schedule. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards. ESSENTIAL DUTIES AND RESPONSIBILITIES: * Escorts patients to and from exam rooms, physician offices, and treatment room as appropriate. * Records patient data prior to each physician visit, including but not limited to, vital signs, height, weight, allergies, and medication changes. * Obtains all necessary patient records as required by physician and verifies presence of consent prior to treatment or procedures. * Prepares and stocks exam/treatment rooms and orders supplies as needed. * Assists physicians with exams and procedures as requested. * Assists with delegated patient education including but not limited to distributing education literature, etc. * Obtains blood specimens from peripheral sites as needed and in accordance with OSHA and universal precautions. * Administers subcutaneous and intramuscular injections, including but not limited to, hormones and biological growth factors. * Maintains all exam/treatment room disinfection protocols. * Processes instruments and equipment as needed. * Answers patient telephone calls for referral to physician or nurse/pharmacist. * Phones in prescriptions and makes other patient calls as directed by physicians and RN. * Schedules patient tests, procedures and hospital admissions and schedules appointments to follow-up on receipt of test results, as applicable. * Assists with select pre-authorizations and pre-certifications as needed. Informs physician of patient reschedules and no shows. * Obtains new patient records and previous test results, x-rays, scans, etc. * Performs other administrative duties, i.e. typing, filing faxing reception, etc, MINIMUM QUALIFICATIONS: * High school graduate or equivalent. * Certificate of graduation from an accredited program for Medical Assistants strongly preferred. * Minimum five years experience as a medical assistant or nursing assistant in a hospital or clinic setting. * Phlebotomy experience preferred. * Current CPR certification required. * Certified Medical Assistant strongly preferred. * Some state regulations may require specific certifications in order to work as a Medical Assistant.
