Job Summary

This Adjunct faculty member teaches Banking courses to students pursuing a broad range of Associate in Arts and Associate in Science degrees.

Duties & Responsibilities

Minimum Requirements

  • Master's degree in Business Administration (MBA) from accredited institution; or Master's degree including OR with additional 18 graduate credits in Finance, Economics, Management, Marketing, Accounting and/or Law and five years of work experience in financial services; or Master's degree and 15 years of work experience in financial services

  • All educational degrees must be from a regionally accredited institution

This position will work in the Office of Recruitment and Onboarding at the Sylvester Comprehensive Cancer Center (SCCC), and is responsible for managing the recruitment and onboarding of physicians/PhD faculty and other professional staff positions as needed and funded by SCCC (both hospital & research division). These processes will be coordinated in consistency with Faculty Affairs and Medical Human Resources policies and procedures. This position will oversee and coordinate on-campus recruit interviews, including travel arrangements, hotel and car reservations, and tours of the center/department/laboratories, lunch/dinner interview arrangements and processes respective reimbursements. Must also coordinate all arrangements for recruit seminars including advertising, seminar set up and catering. Must escort each recruit during day(s) of on-campus interviews and track all SCCC recruitment expenses, split costs and reconcile charges on their travel card. The incumbent is expected to be on call during our recruits' visits. Create, develop, and coordinates the placement of advertisements in national and international publications. Responsible for managing SCCC recruitment budget related to daily operations to include; maintaining expense tracker, processing purchase orders, reconciling travel card, submitting faculty reimbursements and candidate expenses. Maintaining master recruitment list, maintaining RedCap database, and providing weekly updates of recruitment accomplishment and recruits in the pipeline to the SCCC Director. Supervise, train, and evaluate the performance of Student Assistants for the SCCC Administrative floor and SCCC recruitment office. The incumbent will serve as a liaison between SCCC and various departments, and will participate in search committees, open faculty and staff positions, assist in the preparation of recruitment packages, visas, and human resource documentation. The person in this role will serve as a liaison between SCCC and the recruit and need to be able to answer all questions and/or obtain the information that they are unable to answer. CORE JOB FUNCTIONS POSITION REQUISITION Drafts, edits and assists with the development of job descriptions and placement of advertisements for planned recruits and staff. Requests and reviews resumes with respective faculty. Ensures relevant correspondence and documentation is forwarded to applicants in a timely manner and in accordance with University guidelines. Develops and maintains an electronic timeline/log for tracking staff positions, to include new and vacant positions, and re-classifications. ONBOARDING PROCESS FOR RECRUITS AND STAFF Develops standard operating procedures for the on-boarding process of new recruits and staff. Serves as the point of contact for other departments, centers, and institutes involved in the hiring of faculty and staff at all campuses. Coordinates credentialing and training requirements for new recruits. Coordinates efforts for medical licensing for new recruits. Prepares special requests such as business justification for a position, requests for moving funds, requests for specific start dates and requests for signing bonuses. Obtains Visa related forms and tracks progress. Escorts new faculty members to faculty affairs and departmental offices to fill out required documentation for security badges, and parking arrangements. Coordinates with other divisions in order to secure access to buildings, shared drives and email, set-up office space including phone lines, computer/printer, furniture, etc. as appropriate. RETENTION AND OFFER LETTERS Collaborates with faculty's department process in the writing, processing and extension of the offer letter/ employment agreement for faculty hires. Assists in compiling and drafting of hire agreement. Ensures offer and agreement are in accordance with University processes/policy and ensures that all aspects of faculty recruitment are accounted for in the offer letter. Collaborates with each chosen faculty's department to process the extension of a retention letter. Assist with drafting, editing and processing the letter. Serves as the liaison between all other relevant departments, centers, and institutes involved in the offer letter process for faculty at all University of Miami campuses. Prepares daily/weekly communications of status of offer/retention letters for leadership. MOVING RELOCATION Facilitates the startup of new faculty/professional in regards to home, office and laboratory relocation, equipment purchases and transfer of grants. Coordinates relocation efforts of new faculty to include: Providing relocation questionnaire and moving guide to each faculty/staff recruit Submit required forms to Purchasing department Arranging the moving survey, obtaining quotes and securing moving date Coordinate the transfer of equipment and animals Obtaining institutional approvals Tracking relocation expenses and processing BERFs CLEARANCE OF EMPLOYEES Assists with the coordination of employee clearance, to include: Contacting appropriate divisions to verify equipment has been inventoried or received, travel card has been reconciled, office keys received, etc. MANAGEMENT OF EMPLOYEE DATA INFORMATION Manages and updates system for the Division. Ensures all data is accurate pertaining to new hires, terminations, contractors, and temporary staff, etc. Ensures all promotions , reclassifications, and salary actions are updated. Enters all annual merit evaluation ratings and salary increases for all staff. Oversees the process on completion of business justification, interview summary, and access card forms. Maintains financial tracker to keep account and budget on purchased ID's. Updates Outlook Distribution lists. Monitors and ensures new faculty hires are uploaded correctly to their department/division websites. Monitors Workday to ensure all new hires are entered correctly. Ensures all newly approved open positions are correctly posted on UM's career site. Advises appropriate individuals when new employee starts and terminates employment accordingly. Creates, maintains, and files confidentiality agreements for staff as needed. Obtains and stores contractor agreements; follows-up with companies as needed. Adheres to University and unit-level policies and procedures and safeguards University assets.
