Job Summary:

Activities Assistant assists in coordinating, planning and helping with the resident activity programs.

Essential Functions:

  • Assists in carrying out the assigned activity programs as identified in the monthly calendar and as instructed by the activities director, including making sure copies of the calendar are posted and available to each resident, his or her families, and friends.

  • Provides one-to-one programming for residents who cannot participate in a group setting.

  • Assists in decorating for the holidays with the help of residents and the volunteers and helps carryout special events.

  • Coordinates with the activities director and other staff as necessary to assist residents to and from activities and events.

  • Maintains equipment and supplies, and organizes the activities storage areas in an orderly and clean manner.

  • Assists in carrying out activities and events in the absence of the Activities Director.

  • Assists with quarterly special events that include residents, families, friends and the community at large.

  • Works with community resources and contacts to enhance the quality of life for residents as instructed by activities director.

  • Perform other duties as assigned.

Qualifications:

  • High School diploma or equivalent.

  • Having completed a state certified activities training program or having one or more years of direct programming experience with older adults is helpful.

  • Valid commercial Class B drivers; license and access to a private vehicle for business use may be required

  • Able to communicate effectively, in English, with personnel at all levels of the organization, with residents, their friends and family, and with members of the community

Part Time Position - Sunday, Monday and Tuesday. Job requires driving community bus (does not require special license beyond Drivers License).

Full-Time, non-represented, confidential exempt position, 12-Month Probationary Period Essential Functions Coordinates budget process for CAS supported departments.Analyzes and makes recommendations in budget development.Creates and evaluates financial reports, monitors budget for department, recommends action to resolve issues or discrepancies.Responsible for accounting and data entry duties including Purchasing Card reconciliation; processes accounts payables, receivables, invoices, purchase orders, time sheets and payroll. Prepares deposits and corrects journal entries. Reviews the work of others, and corrects financial processing errors. Acts as department procurement specialist including negotiation of pricing, service levels and quality. Ensures City funds are spent in accordance with City purchasing guidelines and in a fiscally sustainable manner. Coordinates contract process, compiles bid information and performs cost analysis.Compiles contract reports for submission to managers and commissions; reviews reports for compliance and recommends payments.Organizes, maintains and tracks all contracts and related documents.Provides training on contract requirements including sustainable purchasing goals. Researches, analyzes and writes technical, confidential and complex reports including making recommendations based on the information. Greets walk-in customers as well as answers phones, routes calls, takes messages, sends or responds to e-mail.Performs various customer service duties such as respond to community member complaints according to City policy, or responds to other agency requests. Organizes and creates materials sent to the general public that represent official City information, including Council and Work Session packets. Participates in preparation of department computer plan, recommends hardware/software purchases.Acts as technical support for department.Creates, maintains and updates CAS supported department, City Council, and Advisory Board and Commission web pages. Prepares, handles and maintains sensitive and confidential information involving labor relations, grievance matters, executive sessions and related files.Takes and transcribes official public meeting and/or labor negotiation session minutes. Assists other administrative staff and performs other related duties. Acts ethically and honestly; applies ethical standards of behavior to daily work activities and interactions. Builds confidence in the City through own actions. Qualifications and Skills Education and Experience High school diploma, or equivalent. Associate's or Bachelor's degree in Business, Political Science or related field preferred. Three years increasingly responsible administrative experience including demonstrated experience with the Microsoft Office Suite. Training and/or experience in budgetary and financial reporting is required. Experience writing complex and technical reports, contracts and legal documents is required. Knowledge, Skills and Abilities Excellent analytical, communication, interpersonal, technical writing, research and organizational skills. Ability to research, summarize and interpret data. Ability to use a computer for extended periods of time to perform the essential functions of the position. Ability to use computer software including spreadsheets and word processing programs necessary to perform the essential functions of the position. Ability to get along with coworkers and the general public and maintain effective working relationships. Ability to maintain confidentiality and exercise discretion and judgment in dealing with sensitive or confidential information.
