Under the general supervision of the Academic Division Dean and working closely with the program coordinators, department chairs and administrative assistants, the Academic Assistant/Associate Dean is responsible for the following:

  • Works collaboratively with the Student Affairs Division in a 'One Team' dynamic to foster and enhance student success.

  • Works with department chairs, the enrollment management team, Advising and the Registrar in developing the master course schedule and is responsible for the assignment of faculty workloads. Receives full-time faculty course preferences and creates tentative workload forms, to be shared with Academic Division Dean for final approval and dissemination to full-time faculty.

  • Enters academic schedule into scheduling software; works with Student Records to ensure accuracy and edits as needed based on enrollment patterns.

  • Monitors enrollments during pre-registration period and makes recommendations to Academic Dean regarding course adjustments (cancellations, consolidations and term movements, etc.) based on enrollment patterns.  Informs students of class cancellations and works with the department chairs and Advising Center to make the necessary schedule adjustments.

  • Oversees schedule for lab techs and makes recommendations to Academic Division Dean regarding time off requests, to ensure continual coverage.

  • Consults with chairs and coordinators to draft proposals to make purchases using department budgets. Works with programs to maintain accurate list of course fees.  Recommends to Dean changes, edits, or deletions to course fees.

  • Works with facilities, IT, and lab techs to maintain equipment inventories for teaching spaces (computers, software licenses, lab equipment, etc.); Works with IT to monitor purchase and installation of classroom technology.

  • Works with faculty to introduce and use technology tools and alternative instructional methodologies that enhance student learning. Supports faculty in the development of experiential learning opportunities.

  • Assists in the preparation of the agenda and chairs Division meetings.

  • Completes the faculty evaluations: student evaluations (E1), course materials checklist (E2), classroom observation (E3), advising (E4), college service (E5) and E6 (summary evaluation); submits completed E forms for Dean's final approval.

  • In collaboration with department chairs/program coordinators and HR, oversees hiring processes, recommends adjunct staffing, enters adjunct staffing tentatively into scheduling software, and regularly evaluates adjunct faculty: completes syllabus checklist (E1, for the adjuncts) and classroom observations (E3) .

  • Addresses student complaints during the informal phase.   Maintains documentation, including nature of complaint, steps taken to resolve, and informal resolution. Refers student complaints to formal process (e.g., program specific and/or college wide including Title IX or Behavioral Intervention Team) if resolution is not reached.

  • Works with faculty on space needs (classroom assignments, office assignments, etc.).

  • Works with faculty to request and receive services from the Center for Academic Program Support and the Office for Students with Disabilities and Deaf Services.

  • Collaborates with chairs and the library to identify computer loan needs for programs.

  • Works with Division Administrative Assistants to address daily faculty and student needs as they arise.

  • Directly implements the MCCC/MTA and AFSCME Collective Bargaining agreements and College policies related to them, referring any personnel issues to the Academic Division Dean.

  • Supervises adjuncts, and non-benefited contract employees.

  • Carries out supervisory responsibilities in accordance with HCC's policies and applicable laws.  Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

  • Serves as a member of the Academic Affairs staff and other College committees and bodies.  May serve as the designated Academic & Student Affairs representative on standing College committees.

  • Assists the Vice President for Academic and Student Affairs as requested in carrying out college-wide assignments beyond the scope of the Division that further the mission and vision of the College in alignment with the strategic and equity plans.

  • Other duties as assigned.

Health Science Additional Functions:

  • Coordinates with Chairs to ensure advisory boards are constituted and function in accordance with all applicable accreditation/regulatory standards.

  • Collaborates on the development and review regulatory accreditation and/or regulatory agency applications or requests for information.

  • Collaborates on developing schedules with community education for shared facilities, programming, and faculty.

  • Oversees agency affiliation agreement process, ensuring programs all have active agreements to cover placements; develop affiliation agreements with new agencies.

  • Arranges negotiate contracts with vendors, consultants, or other agencies to address specific program needs related to healthcare software and equipment.

  • Oversees Health Science immunizations compliance program and supervise health compliance staff assistant.

  • Conducts CORI/SORI review and determine student eligibility for program of study based on findings.

  • Reviews all annual accreditation reports and review/assist in the development of self-study documents and preparations for site visits.

REQUIRED: 

  • Master's degree;

  • One (1) to (3) years' experience in administrative or teaching in higher education;

  • Experience with collective bargaining agreements;

  • 1-3 years of experience in higher education;

  • Possess excellent oral and written communication skills of office procedures, including knowledge of principles and procedures of record retention and management, proofreading skills; 

  • Compose, edit, and/or format business correspondence and reports; 

  • Demonstrates good judgment in decision-making and the ability to maintain high-level faculty, staff and student confidentiality; 

  • Possess strong relational and interpersonal skills; 

  • Ability to interact professionally with a diverse community of faculty, staff, students, trustees and alumnae; 

  • Ability to prioritize work duties, and demonstrate effective time management skills;

  • Experience multi-tasking and transitioning quickly between projects to address specific situations, and managing multiple, concurrent projects, and meeting strict deadlines; demonstrates accuracy and attention to detail; possess exceptional Microsoft Office Suite, Google Suites and Zoom experience; 

  • Ability to work independently and as part of a team; 

  • Ability to interpret and apply pertinent College rules, regulations, policies, and procedures in the course of carrying out their role.

PREFERRED:  

  • Doctorate degree; 
  • One (3) to three (5) years of experience in administrative or education in higher education; 
  • Experience with Banner, Crystal Reports, and EAB Navigate.

Full-time, Non-Unit Professional position

Salary Range: $79,080.79 - $87,311.94/year, plus a comprehensive State benefits package

Hours:  37.5 hrs./week (Not eligible for telework until after 6 months)

Funding Source:  State

  • All candidates must have legal authorization to work in the United States. HCC is not sponsoring H1B Visa.
