OVERVIEW:

This position is responsible for performing a variety of duties to support the Bank's community banking system by providing assistance and coordination within community banking as well as other divisions, units, or departments.

KEY RESPONSIBILITIES:

  • Coordinates the operational functions of the Bank's community banking offices;

  • Provides support and guidance to the Bank's community banking office staff;

  • Communicates with other departments of the Bank relative to community banking issues. This includes active participation in large-scope projects as determined by the Bank's strategic goals;

  • Creates and/or revises all community banking office policies, procedures and forms;

  • Assists with purchases and repairs of community banking office equipment;

  • Communicates with vendors and service providers. May also orders supplies for community banking offices;

  • Assists with the Bank's audit processes which may require travel to select offices to assist with the operations of an office;

  • Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices in support of risk management and overall safety and soundness and the Bank's compliance with all regulatory requirements; and,

  • Coordinates specific work tasks with other personnel within the unit or department as well as with other divisions, units, and departments in order to insure the smooth and efficient flow of information.

QUALIFICATIONS:

Required:

  • A high school diploma or GED is required;

  • A thorough knowledge of current community banking office policies, procedures and operations;

  • A working knowledge of Bank products and services;

  • Demonstrates a sound understanding of community banking administrative and operational functions;

  • Strong aptitude regarding attention to detail;

  • Proficient reading, writing, and grammar skills together with proficient analytical and mathematics skills;

  • Excellent computer skills, including a working knowledge of Microsoft Windows, Word, Excel, and Outlook;

  • Excellent interpersonal relations and communicative skills;

  • Visual and auditory skills; and,

  • A valid driver's license is required.

Preferred:

  • A minimum of five (5) years' related experience normally required.

KEY RESPONSIBILITIES: * Responsible for the administrative integrity of all archive and workflow systems; * Analyzes, develops and builds workflow activities; * Defines and manages document retention schedules; * Coordinates specific work tasks with other personnel within the department as well as with other departments in order to insure the smooth and efficient flow of information; * Implements and maintains new and existing archive and workflow application systems; * Executes test plans and scripts for new software releases and upgrades; * Provides support to users of various archive and workflow applications; responds to employee questions; * Analyzes problems with software; tracks and monitors reported issues; acts as the liaison with software vendors; * Communicates with the Vendor Technical and Help Desk staff to solve problems and issues; * Develops and maintains procedures for archive and workflow systems; * Conducts learning sessions on an as needed basis for system applications and computer policies and procedures at various department and management levels; * Prepares paper documents with or without barcoding for scanning in order to produce digital copies for retention purposes; * Scans, indexes, and commits paper documents for all business units as assigned. Performs quality control checks throughout the process to ensure scanned copies of documents are legible, accurate and of high quality; * Maintains and stores required file documents. Ensures document files are maintained in the order required by the business unit; and, * Responds to inquiries relating to his/her particular area, or to requests from customers, other Bank personnel, etc., within given time frames and within established policy. QUALIFICATIONS: Required: * An associate or bachelor's degree in computer/management information systems or a computer-related field normally required, or an equivalent combination of education and relevant experience; * One or more years' experience in a related document imaging position; * Demonstrates a thorough understanding of archive and workflow solutions; * Ability to establish and maintain archive and workflow parameters. * Demonstrates the ability to research, analyze, interpret and implement solutions in order to resolve problems and increase efficiencies with assigned system applications; * Proficient reading, writing, grammar, and mathematics skills; * Proficient interpersonal relations and communicative skills; Proficient organizational and time management skills; * Strong analytical skills; * Proficient PC skills, including a thorough knowledge of Microsoft Word, Excel and Outlook; * Visual and auditory skills; and, * Proficient manual dexterity and eye-hand coordination; proficient computer skills.
