Job Summary:

The Accounts Receivable Specialist will help to maintain a smooth functioning accounts receivable department by supplying responsive, effective services to internal and external customers. Maintains accurate records for Sarbanes-Oxley compliance. Works closely with business and state auditors on accounts receivable related matters. Conducts analysis reporting that delivers solutions to resolve customer disputes.

Essential Job Duties:

  • Reconciles and researches assigned customer accounts.

  • Conducts analysis and prepares reports based on data regarding posting, processing, and verification of receipts, credit claims, refunds, or other similar records.

  • Ensures timely monthly close of the accounts receivable. Manages the on-going review of the accounts receivables as it relates to customer deductions.

  • Accurately and timely postings of all cash to customer accounts. Prepares Ad Hoc reporting as requested by management.

  • Performs special accounts receivable projects as directed by management. Prepares cash flow analysis reports.

  • Works closely with the accounting group in reconciliation issues under tight deadlines.

  • Makes recommendations to the Credit Manager regarding release or non-release of orders.

  • Maintains accurate customer notes in the system on a timely basis for audit review.

Job Requirements:

  • High school diploma or GED required. Bachelor's Degree in Accounting, Finance, or closely related scientific / technical discipline is preferred.

  • Minimum of 2 years of related accounts receivable experience is required. Ideal candidate will have 4-6 years recent and continuous AR /Credit experience.

  • Must have strong working knowledge of accounts receivable concepts.

  • Strong knowledge of SAP preferred.

  • Have experience working with 3rd party independent Auditors as well as knowledge of SOX controls and overall SOX environment.

  • Requires high level of maturity, judgment, and tactfulness in interfacing with customers at all organization levels.

  • Must have proven ability to establish strong internal & external customer relationships.

  • Must have strong attention to detail.

  • Must have ability to work effectively alone or in a team, and be able to multi-task under tight deadlines while maintaining a professional demeanor.

  • Must possess solid customer service skills, and have excellent written and verbal communication abilities.

  • Intermediate MS Excel skills required

Essential Job Functions: * Works with billers to gain solid understanding of client billing requirements and to troubleshoot potential reasons for non payment * Makes phone calls or sends emails to person in charge of payment when client is overdue for payment of invoice and tracks details of each client call. * Communicates to the collections supervisor and A/R financial analyst if there are any billing disputes or early warning signs of changes in payment patterns of clients. * Prepares periodic status reports on assigned clients * Documents and communicates with A/R clerk regarding cash posting problem * Performs general administrative functions including maintenance of A/R collections files * Works independently and within a team on special projects as needed. Qualifications: * Candidates must have 2–3 years of collections/ receivables and customer service experience * College degree highly preferred. * Must be able to handle and maintain confidential information using sensitivity and discretion * Must be able to prioritize and complete multiple assignments * Ability to calculate figures and amounts such as discounts, interest and proportions * Ability to maintain effective working relationships with team members, accounting department, billing attorneys and clients. * Good sense of judgment, including recognition of when to escalate a problem * Excellent organizational, problem solving and follow-up skills * Excellent verbal and written communication skills * Must be proficient in Microsoft Office with intermediate Word and Excel skills.
