Job Description

General Purpose

To ensure efficient, timely and accurate payment of Accounts Receivables and to handle all small office Admin duties including assistant to Executive management roles

Primary A/R Job Tasks and Responsibilities

  • generate and send out invoices
  • follow up on, collect and allocate payments
  • carry out billing, collection and reporting activities according to specific deadlines
  • perform customer account reconciliations
  • monitor customer account details for non-payments, delayed payments and other irregularities
  • research and resolve payment discrepancies
  • review AR aging to ensure compliance
  • maintain accounts receivable customer files and detailed records
  • process credit card payments
  • prepare bank deposits
  • investigate and resolve customer queries
  • process adjustments
  • Establish a recovery system and initiate collection efforts
  • communicate with customers via phone, email, mail or personally

Small Office Admin Job Tasks and Responsibilities

  • Serve as the point person for office manager duties including:
    • Maintenance
    • Mailing
    • Supplies
    • Equipment
    • Bills
    • Errands
    • Shopping
  • Organize the office layout and order stationery and equipment
  • Maintain the office condition and arrange necessary repairs
  • Partner with HR to update and maintain office policies as necessary
  • Assistant to Executive management roles
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment
  • Ensure that all items are invoiced and paid on time
  • Address emp queries regarding office management issues (e.g. stationery, Hardware, Truck and Equipment)

Education and Experience

  • knowledge of accounts receivable and office administrator responsibilities, systems and procedures
  • knowledge of general bookkeeping procedures
  • Proficiency in MS Office (Word an Outlook, in particular)
  • 1-3 years accounts receivable and general accounting experience
  • High School diploma (minimum)
  • Internet and Website Experience
  • Sales and Marketing Experience

We are Wholesalers of Specialty Food products. Our office and warehouse are both located in Avenel New Jersey. We deliver products here in the Tri State as well as locations along the Northeast Corridor as well as all Major Markets in throughout the States. We are open Monday to Friday from 8:00 am to 5:30 pm.

Job Summary: SHIFT: Monday-Friday 2000-0600 Cowan Fleet Managers are responsible for safe operation and management of their specific fleet of drivers. This includes, but is not limited to, employee relations as it relates to driver retention and satisfaction, relationship saturation and overall driver productivity. Operations team will provide fleet plans. The Fleet Manager is responsible for the execution of said plan. The driver is your customer. Cowan Core Values: * Safety of our team drives every decision we make * An entrepreneurial spirit fostered by healthy work environments * Fiscal responsibility * Exceptional Customer service Job Duties: * Promote culture of safety in all daily activities * Proactively address safety concerns by: * Communicating safety goals and standards to drivers * Steering driver safety concerns to the appropriate resources for resolution * Regular reviews of fleet safety health with Terminal/Operations Manager and/or Safety trainer, schedule set by Terminal/Operations Manager * Execute compliance tasks in the following areas: * Driver fitness (DOT physical) * Driver documents (license, annual review, etc.) * Validate Hours of Service for each driver using available tools * Facilitate random driver testing as required * Personal protective equipment (PPE) * Effectively dispatch a fleet using Cowan systems tools and procedure * Confirm driver plans with drivers (Via Qualcomm and or phone) * Provide driver with any required special load requirements (Hazmat, specialty equipment, etc.) * Provide future plans to drivers whenever available * Identify and collect assessorial charges as needed * Daily review of Cowan Connect standards for your fleet. Areas of focus: * 30 minute compliance * Late reason coding * Detention notes/collection * Coach and counsel your Fleet in the following areas (subject to TM approval) * Productivity * On time service * Attendance * Violations of company rules as outlined in the Cowan Handbook * Customer care and service * Develop driver performance improvement plans as needed * Maintain highest driver relationship and satisfaction by: * Regular review of driver settlements in order to reach earning goals * Audit driver manifests for pay accuracy and workload balance * Advocate for driver in relation to executable plans * Review plans and provide operations teams with feedback * Effectively communicate Cowan policy changes, schedule changes, etc. to the fleet. * Participate in driver mentoring and driver appreciation activities as prescribed by the Terminal Manager * Bi-annual driver ride along * Quarterly review of fleet performance with Terminal Manager * Review revenue per truck per day based with Terminal Manager. Identify areas of opportunity. Develop improvement plan as needed with Terminal Manager (and Operations manager is applicable) * Other duties as assigned at Terminal Management discretion Job Requirements: * 3 years industry experience preferred * 1 year fleet management experience * TMS experience required.
