Job Description

General Purpose

To ensure efficient, timely and accurate payment of Accounts Receivables and to handle all small office Admin duties including assistant to Executive management roles

Primary A/R Job Tasks and Responsibilities

  • generate and send out invoices
  • follow up on, collect and allocate payments
  • carry out billing, collection and reporting activities according to specific deadlines
  • perform customer account reconciliations
  • monitor customer account details for non-payments, delayed payments and other irregularities
  • research and resolve payment discrepancies
  • review AR aging to ensure compliance
  • maintain accounts receivable customer files and detailed records
  • process credit card payments
  • prepare bank deposits
  • investigate and resolve customer queries
  • process adjustments
  • Establish a recovery system and initiate collection efforts
  • communicate with customers via phone, email, mail or personally

Small Office Admin Job Tasks and Responsibilities

  • Serve as the point person for office manager duties including:
    • Maintenance
    • Mailing
    • Supplies
    • Equipment
    • Bills
    • Errands
    • Shopping
  • Organize the office layout and order stationery and equipment
  • Maintain the office condition and arrange necessary repairs
  • Partner with HR to update and maintain office policies as necessary
  • Assistant to Executive management roles
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment
  • Ensure that all items are invoiced and paid on time
  • Address emp queries regarding office management issues (e.g. stationery, Hardware, Truck and Equipment)

Education and Experience

  • knowledge of accounts receivable and office administrator responsibilities, systems and procedures
  • knowledge of general bookkeeping procedures
  • Proficiency in MS Office (Word an Outlook, in particular)
  • 1-3 years accounts receivable and general accounting experience
  • High School diploma (minimum)
  • Internet and Website Experience
  • Sales and Marketing Experience

Company Description

We are Wholesalers of Specialty Food products. Our office and warehouse are both located in Avenel New Jersey. We deliver products here in the Tri State as well as locations along the Northeast Corridor as well as all Major Markets in throughout the States. We are open Monday to Friday from 8:00 am to 5:30 pm.
