The Accounts Payables Specialist is responsible for providing administrative, financial, and clerical support services in accounts payables for Smith System.

This position is primarily responsible for preparing, processing, and submitting payments in accordance with Smith System finance and procurement regulations. This position involves a large amount of data entry and is working towards a paperless model. Prioritizing confidentiality is a vital function of the position.

Responsibilities • Process and code invoices, ensuring accuracy and timely payment • Investigate, solve problems associated with invoice processing, and communicate resolution of discrepancies to appropriate personnel. • Review payment documents for accuracy monitoring discount opportunities on weekly basis. • Reconcile vendor statements and resolve any discrepancies. • Maintain vendor permanent files and ensure required documentation (e.g., W-9) is up to date and in compliance with all applicable tax requirement. • Prepare and provide monthly reconciliation of accounts payable, including proposed general journal entries and supporting documentation. • Monitor the accounts payable aging report and unvouched receipt report to ensure timely payments. • Establishing and maintaining relationships with new and existing vendors. • Ensure IRS Form 1099 is prepared for all appropriate vendors at year end. • Protects organization’s value by keeping information confidential. • Perform other duties and special projects as requested Work experience / education requirements • At a minimum, 3 years of proven experience in Accounts Payable and Associate’s degree is preferred • Experience in data collection, entry, and reporting with great attention to detail and confidentiality. • Computer savvy with working knowledge of relevant accounting software; experience with MS Word, Excel, Outlook • Attention to detail • Outstanding math, organizational and time management skills. • Good communication and interpersonal skills for interacting with vendors and team members • Preference will be given to those candidates who have demonstrated abilities in an AP paperless environment as well as working environments that have less automation. Abilities Required Initiative: Ability to work productively with minimal supervision.
