Summary/ Objective:
This role is responsible for coordination of all aspects of the Companys payments of goods and services. Disciplines supported range from processing vendor invoices, issuing checks, filing freight claims, as well as resolving invoice discrepancies and other tasks as assigned.
Essential Functions:
Open and distribute Accounts Payable mail daily.
Receive, review, process, batch and file vendor invoices daily for payment; review other team members batches for accuracy; take advantage of all established vendor discounts.
Research and resolve vendor invoice discrepancies and charge backs weekly.
Receive and review monthly vendor statements to identify open invoices/credits; resolve issues.
Verify against SYD Eclipse software.
Request missing invoice/credit copies from vendors.
Process and issue checks per SYD schedule including:
ACH payments
EFT payments
EDI remittance advice
Manual check processing and mailing
Respond to auditor requests during the yearly audit by providing information and documentation.
Clear outstanding issues on AP reports monthly:
Unapproved/not received payables (process and approve within one week, unless there is an outstanding issue documented with a JQ)
Unbilled stock receipts (clear those over 6 months old)
Unbilled credits (keep current within 90 days)
Reconcile branch cash boxes daily.
Competencies:
Knowledge of basic accounting practices and procedures
Proficient in the operation of Microsoft Word and Excel
Establish solid working relationships with all Departments, Customers and Vendors
High degree of attention to detail and accuracy
Discretion regarding confidential information
Ability to manage multiple priorities simultaneously

Supervisory Responsibility:
This position has no supervisory responsibilities.
Work Environment:
This job operates indoors in an office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers and fax machines. May on occasion be exposed to loud sounds and distracting noise levels, such as from office equipment.

Physical Demands:
The environmental factors and/or physical requirements of this position include the following while performing the duties of this job the employee is required to have:
the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) weight up to 20 pounds
The ability to use a keyboard with proficient typing skills
Travel:
This position does not require routine travel, and the employee can reasonably expect on average 10% or less travel time to meet the demands of the position. Should travel be required, a valid driver's license with a clean driving record is required for this position.
Education and Experience:
High School Diploma or equivalent required
Minimum two years experience in Accounts Payable preferred
Activant/Eclipse experience preferred, but not required
Other Duties:
Receptionist backup answer incoming calls and greet visitors
Assist manager or other team members as directed
