We are seeking an Accounts Payable Specialist to join our Accounting and Finance department in Gaithersburg, MD. This role will be responsible for day to day activities in the Accounts Payable department. The ideal candidate will be responsible for the accurate and timely processing of invoices and payments for the company. The candidate will also provide support to projects within the Finance Department as well as other business partners.

Responsibilities include but are not limited to:

  • Prepare analysis of vendor accounts and maintain vendor files

  • Monitor the AP mailbox

  • Review all invoices for appropriate documentation and approval prior to payment

  • Research and resolve invoice discrepancies and issues

  • Reconciles general ledger accounts and performs month-end closing activities, as assigned

  • 1099 maintenance and reporting

  • Prepare monthly travel reconciliations and journal entries

  • Responds to payment status inquiries from vendors, contractors, and employees.

  • Perform timely and accurate weekly vendor check runs and/or wires

  • Review and process expense reports for accuracy of account coding and approvals

  • Respond to questions from staff. Answer requests and inquiries from employees and resolve issues accordingly

  • Help provide and prepare supporting documentation for external auditors, SOX 404 auditors and other consultants

  • Performs other duties as required to support Accounting Department

Minimum requirements:

  • High School Diploma required

  • Bachelor's Degree in Accounting/Finance/Business preferred

  • 5+ yrs. of related work experience

  • Manufacturing or pharmaceutical experience a plus

  • Government Contract and Project Cost Accounting experience a plus

  • Sage X3 accounting system experience a plus

  • Strong analytical, communication and writing skills

  • Working knowledge of Microsoft Office. Must be proficient in MS Excel, as well as have general PC skills

Additionally, we prefer candidates that have:

  • Demonstrate strong research and analytical skills. Demonstrate the ability to articulate and solve problems by gathering and analyzing information and making decisions

  • Ability to work under pressure and meet deadlines, while maintaining consistency and accuracy

  • Ability to work as part of a team, as well as independently

This position requires periodic weekend/evening work.
