Accounts Payable Specialist

Role Summary: As an Accounts Payable Specialist, you will play a crucial role in our accounting team by managing the end-to-end process of accounts payable, from invoice matching to payment execution. This role is pivotal in maintaining our financial records and supporting our monthly financial reporting.

Key Responsibilities:

• Accurately match purchase orders with receiving documents and vendor invoices, ensuring all items are correctly ordered, received, and priced before payment.
• Collaborate with internal and external stakeholders to resolve any discrepancies in purchase orders, receipts, or invoices.
• Ensure all transactions are approved by the appropriate management levels and correctly coded to the general ledger.
• Efficiently process payments for invoices and expense reports, including check printing and register management.
• Participate in month-end closing activities and prepare accruals for late-arriving invoices.
• Assist in the preparation of 1099 forms and maintain meticulous departmental files.
• Perform additional duties as needed to support the accounting department.

Qualifications:

• High school diploma or G.E.D. is desired.
• 2-3 years of accounting experience or accounts payable within a trucking company.
• Proficiency in Microsoft Office, especially Word and Excel; experience with Microsoft Dynamics is a plus.
• Excellent organizational skills, a positive attitude, and the ability to work effectively within a team.

Essential Functions:

• Strong verbal and written communication skills.
• Demonstrates sound judgment and maintains a high level of accuracy in duties.
• Ability to operate standard office equipment and perform physical tasks such as sitting for prolonged periods, stooping, bending, and occasional lifting of up to 25 pounds.

Working Conditions:

• General office environment with a standard Monday to Friday schedule.
• Occasional evening or weekend work to meet critical deadlines.
• Very limited travel required.
• Must possess and maintain a valid driver's license.
