Job Summary:
The Accounts Payable Specialist I is responsible for accounts payable activities including review, preparation, and maintenance of all records and the processing of associated A/P payments.
Responsibilities:
Green Accounts Payable
Process Green Coffee related invoices. This includes but is not limited to Green Coffee, Ocean Freight, Trucking, Customs, Storage, Demurrage, Detention, and Sampling
Answer inquiries from vendors, suppliers, and employees, and research discrepancies
Process invoices and check requests using ERP Financial system
Match invoices to POs in our financial system and investigate any invoice discrepancies with the PO
Assist with processing employee expense reimbursements
Assist in the processing of the corporate credit card and expense reimbursement program on the WellsOne platform
Filing as necessary
Administrative and Processing
Answer inquiries from vendors, suppliers, and employees, and research discrepancies
Process invoices and check requests using ERP Financial system
Match invoices to POs in our financial system and investigate any invoice discrepancies with the PO
Assist with processing employee expense reimbursements
Assist in the processing of the corporate credit card and expense reimbursement program on the WellsOne platform
Filing as necessary
Accounting and Finance
Assist with maintaining vendor W9 records to allow for proper 1099 issuance at year-end
Support deliverables for annual financial audits
Process weekly and on demand check runs attaching the proper documentation required for approval
Prepare and process check deposits
Assist in monthly and yearly close process
Other duties as assigned
Follow all company procedures and policies, especially with respect to Safety, Food Safety, and Good Manufacturing Practices (GMP).
Education and Experience
Requirements
Must be proficient in MS Excel, Word, with strong computer skills
Requires strong communication skills, verbal and written
Strong Organizational Skills
Ability to work efficiently and productively in a multi-task environment independently with minimal supervision
High level of integrity and dependability with a strong sense of urgency and results oriented
Ability to maintain a high degree of confidentiality
Understanding of basic principles of finance, accounting, and bookkeeping
Excellent attention to detail and accuracy in work with the ability to prioritize and balance deadlines
Pay Rate: $27.00 - $30.00
