We are seeking a talented Accounts Payable Specialist to join our Accounting Department at our Corporate Headquarters in St. Petersburg. The Accounts Payable Specialist will be responsible for timely and accurate processing and payment of vendor invoices in accordance with net pay requirements, among additional tasks and responsibilities listed below.

Accounts Payable Specialist Job duties:

  • Entering new, approved vendors into accounting system

  • Auditing invoices for correct charges and approvals

  • Entering invoices into accounting software for payment

  • Cut checks and mail with back up

  • Enter wire transfer transactions

  • Researching problems and solving open AP issues

  • Maintain daily filing

  • Close payables by the 5th business day of the month

  • Box and arrange for storage of prior year files

  • Fill in for Receptionist and assist with general administrative tasks as needed

  • Follow established procedures and controls for all associated processes

  • Other duties assigned by management.

Accounts Payable Specialist Qualifications:
  • Type 35-40 WPM, 10-Key, Personal Computer: Windows, Excel (req.)

  • NAV/ERP exp. pref.

  • Pref. 3-5 years Accounting experience with focus on Accounts Payable

  • General Office Equipment

  • Excellent written & oral communication and interpersonal skills

  • Must be organized, flexible & able to work with little supervision

  • Attention to accuracy and detail-oriented

  • Ability to multitask

  • Strong communication and interpersonal skills

Receives, sorts, and proofs accounting documents, and posts totals. Matches invoices to appropriate authorizing documents. Reviews invoice coding and asks questions as needed. Inputs invoice information into automated accounts payable application. Performs arithmetic calculations and reviews internal records. Prepares reports and maintains records and files as needed. Assumes responsibility for the accurate and timely performance of accounts payable functions. * Reviews, approves and verifies correct payments to ensure accuracy and timely payments of bills. * Reviews invoices to ensure they are correctly coded, properly authorized, and there are no overpayments or repeat payments. Ensures that approval authority is in accordance with purchasing policies. * Reviews source documents and matches purchase orders, invoices, and receiving documents. * Codes invoices to appropriate general ledger accounts. * Determines optimum payment dates and takes advantage of all discounts on invoices. * Review monthly Accounts Payable reports. * Conducts monthly close processes including accrual process. * Creates reporting Accounts Payable system when necessary. * Manages document retention for Accounts Payable invoices. Assumes Responsibility for the effective, training and development of the Accounts Payable Team. * Plans, assigns, directs and manages Accounts Payable staff. Appraises performance and takes corrective action when necessary. * Responsible for all aspects of employee lifecycle management from the interview and selection process through coaching and performance management. * Carries out supervisory responsibilities in accordance with Kane's policies, procedures and standards. Assumes responsibility for establishing and maintaining effective business relations with vendors. * Researches and resolves vendor problems and billing discrepancies. * Answers vendors' questions or refers them appropriately. * Maintains and projects Kane's professional reputation. * Works closely with purchasing, receiving, buying departments and management to identify and resolves discrepancies. * Review and reconcile vendor statements on a monthly basis. * Identify trends and opportunities for process improvements.
