Job Summary:

Performs general accounts payable duties, including recording and setting up invoices for payment, in accordance with company and established accounting policies and procedures. Ensures the accurate and timely payment of all company invoices for assigned departments. Provides quality customer service to internal and external customers.

Your responsibilities:
1.Receives invoices from communities, vendors, and corporate associates.
2.Reviews each invoice, ensuring the following: legitimacy, accurate coding, appropriate approvals, and that the correct amount is paid.
3.Prioritizes processing of invoices requiring immediate attention, including but not limited to utilities, government agencies, legal settlements, expense reports, resident refunds, and phone bills.
4.Codes and batches invoices as appropriate
5.Enters invoices into the accounts payable software system; verifies work and approves invoices for payment.
6.Processes recurring invoices for payment.
7.Prints, voids and processes mailing of checks and releases entries to the general ledger.
8.Ensures approval compliance regarding high dollar value invoices.
9.Responds to AP related support inquiries (telephone, Service Central, etc.) from vendors, field operations, and corporate regarding invoice processing status, coding and payment information.
10. Researches invoice and account issues and provides resolution including but not limited to; resolving payment discrepancies and invoice discrepancies.
11. Maintains purchase card transactions and orders purchase cards.
12. Serves as a resource for less experienced staff.
13. Evaluates current work and business processes and identifies and supports business process improvements

Required skills and qualifications:

  • High school diploma or general education degree (GED)

  • Minimum one year related experience; or equivalent combination of education and experience

  • General accounting experience required

  • Must have good customer service skills

Perform all periodic and annual transaction processing and reporting functions for payroll and employee benefits transactions. Job Responsibilities: Payroll processing * Verify all employee change reports are accurately entered * Review and verify payroll processing accuracy by using audit reports and making corrections prior to processing payroll * Assure compliance with state, federal and private grant payroll guidelines to confirm payroll allocations are accurate * Import worked hours from WebTime to Paylocity to create biweekly pay. * Make necessary manual adjustments to pay. * Process federal, state and private employee garnishments. * Distribute payroll checks (approximately 700-800 per cycle). * Balance and create accounts payable check requests for voluntary employee deductions including 401(k) by determining voluntary contributions, 4% employer match, and 3% club contributions. * Process payroll reports and submit to appropriate internal teams. * Work with HR on a regular basis to assure complete coordination of onboarding new employees, rehires, and terminations for accurate pay, benefits and deductions. Accounts payable processing * Issue purchase requisition and purchase order documents for approved vendors and maintain records for open and partially used balances. * Match invoices with purchase orders and purchase requisitions. * Adhere to and assure compliance with all internal control policies and procedures for purchasing and accounts payable processing. * Review and enter invoices for processing, ensuring compliance with internal control policies and accurate data entry. * Select invoices for payment based on due dates to assure payments are issued in compliance with vendor terms, taking advantage of discounts when available. * Communicate and follow up with staff to obtain any missing documents needed for prompt invoice payment. * Investigate all vendor statements indicating any past due amounts and responds to all calls and correspondence from vendors to timely resolve questions while assuring compliance to all internal controls for payment processing. * Responsible for monthly payments to state for youth workers permits. * File all payments and maintain vendor payment records following the records retention policy. Other duties * Prepare biweekly journal entries to record payroll expense allocation and benefit transactions in the general ledger. * Reconcile all payroll and employee benefit accounts to the general ledger. * Analyze monthly payroll bank statements, create journal entry to record in general ledger. * Calculate and record monthly state unemployment expense in compliance with state regulations. * Process annual payroll and benefit changes. * Initiate documents needed to prepare year-end W-2 forms (approximately 1,100). * Keep current with payroll tax laws and W-2 reporting requirements at federal and state level. * Assist with the various annual and periodic audits including the year-end financial audit, 401(k) plan audit, workers' compensation insurance audit, and grants audits * Must attend trainings required by the Club. * Other duties as assigned.
