Summary

The Accounts Payable Expense Clerk is responsible for various accounts payable functions including accurate and timely payment processing, audit, documentations and vendor communication.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Process vendor invoices, check requests, and employee reimbursements

  • Filing, mailing & verifying invoices

  • Review invoices for appropriate documentation, W-9, and approval prior to payment

  • Assign GL codes in accordance to Chart of Accounts and cost centers by analyzing invoices

  • Resolve A/P issues and vendor inquiries in a timely manner

  • Verify and peruse for Sales/Use Tax notation

  • Respond to requests for information from Accounting Management

  • Organize checks for signature by attaching related invoices and process them for mailing

  • File invoices and maintains vendor files

  • Other projects as necessary

SUPERVISORY RESPONSIBILITIES

  • This position does not have supervisory responsibilities

MINIMUM QUALIFICATIONS

  • 2 years of Accounting or Accounts Payable experience preferred

  • Some college desired

  • Good computer skills: Microsoft Suite (Word, Excel, Outlook, PowerPoint)

Position Summary: Under minimal supervision, the Accounts Receivable Clerk will carry out the day to day duties of maintaining the accounts receivable ledger, will perform ad-hoc accounting duties, and act as back up to the Accounts Payable Clerk. Primary Duties & Responsibilities: Include the following (other duties may be assigned): * Post cash and wire receipts in lock box to accounts receivable sub-ledger. * Run multiple accounts receivable reports. * Maintain records of invoices, debit and credit memorandum. * Resolve valid or authorized deductions by entering adjusting entries. * Resolve invalid or unauthorized deductions by following pending deduction procedures. * Verify validity of accounts discrepancies by obtaining and investigating information from sales department and customers. * Maintain relationship with customers. * Email / mail customer invoices and credit memorandum. * Match invoice with pick list. * Scan invoice and pick list into archived router. * Continuous collections via phone and email. * Email statements to customers on a weekly basis. * Weekly update of reporting Schedule 16A. * Maintain accounts receivable log. * Reconcile Accounts Receivable before month end close * Provide support in accounts payable as needed * Matching invoices with checks * Input vendors invoices OTHER REQUIREMENTS / COMPETENCIES: * Ability to concentrate on details and accuracy in execution of tasks. * Should be proficient in ten key adding machines and be computer literate. * Should be prepared to work extra hours if required. * Familiarity with Accounts Receivable is required. * Familiarity with a manufacturing environment and MAPICS (AS400) system is a plus. * Proficient in Excel and Word applications. * This job has no supervisory responsibilities.
