The Gensler Northwest Region is seeking an Accounts Payable Coordinator. As part of a team, you will be responsible for supporting various offices within the Northwest Region and will join a larger Accounts Payable team spread across multiple offices. You are a team player at heart, you will collaborate with our AP team, advocate best practices, tap into your problem-solving skills, and roll up your sleeves to pitch in when it's all hands-on deck.
What You Will Do
Timecard maintenance, including monitoring missing timecards and manual timecard entry
Manage approval and filing of weekly studio labor reports
Train the region's new hires on our timecard process
Review corporate credit card transactions for policy compliance, appropriate GL coding and upload transactions for payment
Monitor, review, and upload reproduction activity through a Global Account Reproduction Database
Enter invoice details in Coupa (vendor/invoice data, job coding, GL coding, etc.)
Correspond with budget holders to ensure invoices received are accurate and approved appropriately
Consistently adhere to Firm deadlines and communicate accounting deadlines with stakeholders across the Region
Maintain AP records per Firm policy
Respond to Consultant payment inquiries
Maintain and track Certificates of Insurance (COIs)
Support other accounting activities as needed including ad hoc reporting, filing and research
Minimum 5 years of experience in a dedicated AP capacity required
Business Administration Degree preferred with an emphasis in Accounting a plus
Experience processing corporate credit cards a plus
Understanding of finance policies and procedures
Ability to clearly and accurately communicate with Technical and Managerial Staff
Ability to multi-task and prioritize to meet daily, weekly, and month-end deadlines
Must possess strong Accounts Payable knowledge
Ability to function independently and collaboratively with co-workers
Must be proficient with MS Excel and Word
Experience with Coupa ideal
Deltek/Vision Software experience a plus
Ability to work Overtime when required
