Description

The Accounts Payable Coordinator is responsible for processing accounts payable for ORAFOL Americas Inc. in Avon, CT. Duties include vouchering invoices, generating check payments, posting wire payments and adding new suppliers. This position is also responsible for providing other general accounting support, such as travel expense reimbursement, fixed asset accounting, and intercompany confirmations.

ESSENTIAL FUNCTIONS

  • Enter invoices, clearing receipts and matching to the appropriate purchase order (if applicable).

  • Coordinate recurring payments (e.g., Death Benefit Only payments, consulting agreements, etc.), ensuring timely payment in accordance with agreements.

  • Prepare weekly check proposal, verify check output and prepare checks for mailing.

  • Ensure wire payments are paid and applied timely.

  • Respond to supplier inquiries; provide credit references, as requested.

  • Process annual 1099s for mailing and filing.

  • Support various audits (e.g., financial, sales & use tax, etc.).

  • Audit expense reports for compliance to policy; process for reimbursement.

  • Assist with processing fixed asset transactions in FAS; add completed CIP assets; record monthly depreciation.

  • Support month-end close process.

  • Actively seek opportunities to reduce costs; capture all discounts offered by suppliers.

  • Create and maintain process and procedures for all functions for the role.

  • Perform other duties as assigned or as the situation dictates.

ADDITIONAL RESPONSIBILITIES

  • Provide back-up support for the Receptionist when needed.

  • Position may require additional work outside of normal business hours during month-end and year-end close, or to support special projects and initiatives.

  • Follow prescribed safety guidelines in accordance to ORAFOL Americas Safety program; use required PPE.

  • Maintains an optimal level of product quality and adheres to ORAFOLs Quality Program.

Qualifications

Education Requirements:

  • High School education required.

Work Experience:

  • 3 - 5 years experience in accounts payable department.

  • Knowledge with Microsoft Office Products.

Aptitudes & Characteristics:

  • Strong attention to detail.

  • Maintain confidentiality, dealing with financial information of ORAFOL Americas Inc.

  • Practices the highest level of business integrity.

  • Must has a positive can do attitude and a sense of accountability; takes initiative

  • Must be a fast learner, driven and self-motivated; strive towards continuous improvement
