Position Overview

As a key member of the Finance & Accounting team, the Accounts Payable Associate will assume a critical role in maintaining detailed and accurate records of company transactions, with a focus on expense reporting. The Accounts Payable Associate will have primary day-to-day responsibility for accounts receivable, accounts payable, month-end close, expense reporting, and ad hoc special projects and analysis. In addition to possessing superior technical accounting knowledge, the ideal candidate will be detailed-oriented and have excellent organizational, time management, prioritization, strategic thinking, and oral and written communication skills.

Essential Functions

  • Prepare and analyze accounts, journal entries, and other transactions according to company procedures and GAAP

  • Review/audit and record employee travel expenses and company credit cards

  • Manage Accounts Payable processing, entering invoices, preparing for payments and maintaining accurate vendor records

  • Receive, process, and verify expense reports for advances and preparing checks

  • Analyze accounts to develop insights and opportunities for improved information quality

  • Maintain accounting ledgers by verifying and posting account transactions

  • Assist the Finance & Accounting team in designing processes to make all procedures more efficient and accurate

  • Assist the team with financial statement preparation and analysis

  • Handle Accounts Receivable activities including cash applications, credit card payments and collections

  • Prepare requested documentation and analyses to support the Controller's quarterly reviews and annual audits

  • Other duties as assigned


  • BS in Accounting or Finance from an accredited university or college

  • Experience working with QuickBooks Enterprise Solutions is preferred

  • Ability to plan, prioritize, and complete projects within deadlines

  • Excellent written and oral communication skills

  • Ability to work independently in a fast-paced environment

  • Willingness to take on challenges and to think constructively to solve problems

  • Microsoft Office skills required

  • Strong attention to detail and ability to recognize and resolve variances

  • Ability to take on multiple tasks simultaneously and effectively prioritize work

  • Willingness to work the hours necessary to meet close and reporting deadlines

This includes updating the CRM accurately and timely, processing statements and collection letters, as well as resolving any customer concerns or inquires. The AR Coordinator has a strong interpersonal savvy and easily connects with and influences clients to agree to collection terms PRIMARY DUTIES AND RESPONSIBILITIES Executing the company's standard accounts receivable collection policy and procedures to ensure the timely collection of all amounts due under license and other contractual agreements with customers. Main duties include: * Contacts customers on status of current and past due invoices. * Updates CRM software on all customer communications. * Processes Statements per Clients/Auditor request. * Prepares collection letters notifying customers of technical support suspension. * Contacts Customers for Tax Exemption Status. * Contacts Customers to resolve open Credit Memos and Unapplied Payments * Provides updates on top Past Due accounts to complete Monthly reports and Quarterly AR Allowance Assists customer AP as needed for research and reconciliation. Works Closely with CSM to solve issues on Client billing accounts. Reads and analyzes contract terms to help with reconciliation. Assists with cash application and audit requests. EDUCATION Associates in Accounting and/or Finance-preferred EXPERIENCE & SKILLS * 3-5 years prior collection and customer communication skills. * MS Office (Excel, Word) required. * Prior use of customer relationship management software and accounting software beneficial.
