College of Southern Maryland is seeking a skilled Accounts Payable (AP) Assistant for the Procurement Department. This person will back up the AP Manager and assist in overseeing the daily operation of the Accounts Payable functions. Responsible for all Accounts Payable processes and ensure input and timely payment of all vendor invoices. Provide accounting assistance to cost center managers and staff; respond to financial questions/concerns from user agencies. Assist with PCard and Expense Reimbursements, prepare special reports required by management including audit responses, compliance reports, payment analysis, and other related duties.

The work schedule for this position is 40 hours per week, Monday through Friday, from 8:30 a.m. to 5:30 p.m. Flexibility is required.

Required Skills

  • AA Degree in Business/Accounting, or equivalent work experience required

  • Three (3) years of accounting or procurement experience, preferably in accounts payable

  • Demonstrated proficiency with Microsoft Office Suite to include Word and Excel

  • Demonstrated experience in an integrated data system, preferable one year with Colleague

  • Demonstrated ability to communicate and interact at all levels of the organization

  • Demonstrated ability to perform basic mathematical calculations

  • Demonstrated ability to define problems, collect data, establish facts and draw valid conclusions

  • Work experience using the Internet, world wide web, and electronic mail applications

Specific Duties and Responsibilities 25% - Express Counter * Work the Express Counter in the AD building lobby to provide customer service to students regarding the entire enrollment and financial aid process, as well as basic campus information. * • Accept/process student demographic paperwork through student database software including residency change forms, application update forms, Dream Act paperwork, and Dual Enrollment forms. * * Accept financial aid paperwork, schedule appointments, and provide necessary information regarding CSM information to students. 20%- Scanning/linking Admissions Documents * Scan incoming documents related to Admissions into student accounts using Colleague and ImageNow. a Manage documents and maintain system so documents are accessible for departmental request. 15% Correspondence with prospective students * Communicate with prospective students through email and telephone. * Contact Dual students who have nol submitted complete applications. * Contact international students and inform them of the admissions process. 10% Processing Applications * Assist Admissions Manager with processing daily applications through CRM Recruiter, Also edits accounts through CRM software. Checks for ambiguities after importing applications into Colleague and correct if necessary. 10% Process outgoing and incoming AOD moil * Process all incoming daily mail for the Admissions department. This employee will sort mail and distribute to appropriate parties. Process anv documents from incoming mail on a FIFO basis. 10% - Process Dual Math and Dual English registrations * The Admissions Assistant is responsible for processing all registrations, payments, and sending correspondence letters to students after completion. 5% - Work with Admissions Manager with retention efforts 5% - Running Reports on prospective students Minimum Education and Training * High School Diploma or GED required. * Database experience required. * Customer service experience required. * Microsoft Office experience required. * Prior experience at a Community College preferred. Minimum Qualifications and Standards Required Knowledge, Skills and Abilities: * Must excel at communicating orally and in writing with tact and diplomacy to positively impact enrollment. Physical Requirements: The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly.
