Job Description:
Budget Title: Senior Staff Assistant (SL-3)
Salary: $75,000 - $80,000
The Accounts Payable & Travel Manager is a full-time professional position reporting directly to the Director of Procurement.
The duties of the position include but are not limited to:
Direct oversight of all Accounts Payable & Travel Functions
Full understanding and knowledge of NYS rules and regulations in regards to accounts payable and travel
Distribute work accordingly for proper payment turnaround time
Travel & NET card administrator
Main point of contact on all items related to accounts payable & travel
Daily error cleanup from prior day activity
Point person and liaison to SUNY System on system errors
Reconcile monthly travel and NET card statements
Distribute statements to users
Audit transactions to ensure NYS rules are followed
Providing analysis of spending trends across departments
Provide assistance to Purchasing Department
Assist as needed for vendor input
Quarterly cleanup of open encumbrances
Assist in year-end closeout
Understand front end purchasing rules in regards to NYS purchasing hierarchy as it relates to commodities and services
Conduct all training sessions and coordinate communications to campus for Accounts Payable & Travel
Develop training presentations for campus use
Work with departments on NYS rules and regulations related to Accounts Payable & Travel
Send updates/reminders to: Listserv, BUBS Portal, Dateline
PhD Fee Scholarship
Validate student registration and student aid data
Consolidate data into running semi-weekly file with history
Assist Business Affairs staff with ad-hoc requests
Run payment reports, travel reports as needed
Benchmarking with other University Centers and provide feedback
Oversee FOIL requests
Manage and oversight of audit requests
Records retention
Requirements:

Bachelor's degree
Minimum of 10 years' experience working with NYS systems, SUNY FMS, Business Intelligence and SFS
Minimum of 10 years' supervisory experience in a fast-paced working environment
Demonstrated experience in NYS travel and personal reimbursement policy and procedures
Demonstrated technical aptitude, analytical skills, and attention to detail
Excellence in time management and ability to meet deadlines
Demonstrated ability to coordinate competing priorities in a demanding environment
Excellent professional written and oral communication skills
Ability to relay complex financial/technical advice to audiences (large and small) of varying expertise
Ability to decipher ambiguous requests and deliver a creative, well-thought-out solution
Problem solving, self-motivated learner motivated to join a hard-working team
Expert-level MS Excel skills
