Salary: Salary placement on our classified salary schedule is dependent on the employee's education and/or work experience. Non-licensed employees will be granted one (1) year for each full year of work experience and/or educational attainment up to a maximum of ten (10) years. EDUCATION/EXPERIENCE/:

Required:

  • High School Diploma required

  • Associate degree in accounting preferred or equivalent experience

  • A minimum of two years of accounts payable experience

  • Proficient in the use of mathematics, accounting principles and excellent organizational skills

  • Experience with secretarial work with word processing, spreadsheets, databases and accounting software. Willingness to learn new software packages

  • Familiarity with the rules and guidelines of various sports

  • Be service oriented

  • Ability to establish and maintain effective working relationships with other employees

  • Ability to communicate effectively

  • Bonded or must be eligible to be bonded

Essential Functions and Characteristics:

Responsibilities for Accounts Payable

  • Manage budget and activity accounts for all departments using accounting software

  • Ensure bills are paid in a timely manner while adhering to procedures

  • Process invoices for payments if necessary

  • Process transactions and performing accounting duties such as account maintenance, record entries (deposits/checks) scan checks and reconcile monthly bank statement (to include lunch money)

  • Communicate with customers to request payment

  • Collect payment from customers and accurately record it in the system

  • Create monthly reports for all activity and budget accounts

  • Process all deposits, prepare receipts and make cash deposits to the bank for all activity and athletic events

  • Reconcile VISA monthly

  • Order all general supplies for the office

  • Place orders for teachers/coaches when necessary

Responsibilities for Athletic Secretary

  • Manage and maintain athletes' required paperwork to include physicals

  • Prepare all athletic rosters, update and send rosters to visiting schools

  • Provide eligibility weekly to coaches and teachers

  • Organize and record payment to all officials and staff workers

  • Count and record all money boxes from athletic events - such as concessions and admissions

  • Prepare and send all CHSAA required reports including state eligibility and playoff reports

  • Assist booster club as needed

  • Provide assistance to all coaches

  • Assist Athletic Director with changes to schedules

  • Record and provide all athletic awards and academic lettering including pins and certificates

  • Perform all other duties as assigned by Assistant Principal/Athletic Director

Responsibilities for General Office

  • Provide assistance to all teachers and parents

  • Answer phones and greet people in a friendly and courteous manner

  • Order diplomas for graduation

  • Maintain and order supplies for copiers

  • Input and maintain shared calendar and website calendar

  • Back up to office receptionist with attendance

  • Assist with substitute teachers

  • Maintain professional confidentiality in all matters

  • Perform all other duties as assigned by Principal or Assistant Principal
