Accounting Systems- Purchasing Specialist

We are seeking a dynamic Accounting Systems- Purchasing Specialist. This position demands initiative, attention to detail, organizational prowess, quick learning ability, and excellent relationship management skills across all levels. In this role, you will be responsible for facilitating vendor relationships, managing purchases and ensuring smooth procurement processes.

Responsibilities Include but are not limited to:

• Setting up new vendors, including obtaining COI and W9 documents and establishing payment terms.

• Conducting negotiations with vendors regarding price points, as requested by management and Project Managers.

• Obtaining and analyzing vendor quotes.

• Purchasing materials and supplies in accordance with established guidelines and procedures.

• Initiating purchase orders with job numbers and cost codes.

• Determining tax status and providing tax exempt certifications to vendors when necessary.

• Coordinating with the Management Team regarding changes vendors make to purchase orders, including contract language and payment terms.

• Following up to ensure receipt of fully executed purchase orders.

• Cultivating and maintaining relationships with vendors.

• Communicating regularly with Project Managers to anticipate project needs.

• Collaborating with other members of the Purchasing team.

• Amending Purchase Orders as needed, including updates to dates and dollar amounts.

Ideal Candidate Qualifications:

• High school diploma required; Associates' degree preferred.

• 3+ years of purchasing experience.

• Previous purchasing experience in the construction industry is a plus.

• Excellent grammar, verbal, written and data entry skills.

• Proficiency in Microsoft Office suite (Outlook, Word, Excel).
