The essential duties for this job include:

  • Codes, enters and processes data into the PeopleSoft Payroll or Travel and Expense Module, TINS or USAS or other automated accounting systems; accesses interconnected state computer accounting systems to track status for payrolls, timesheets or travel and expense payments.

  • Provides technical assistance; assists in preparing new systems/programs or enhancements to existing systems/programs.

  • Audits, reconciles, processes and reports and provides training on complex Payroll, Time and Labor and Travel related accounts and activities.

  • Communicates Department Payroll, Time and Labor and Travel policies and procedures to district or division personnel and/or provides training.

  • Coordinates with the Comptroller's office to reconcile accounting discrepancies related to Payroll or Travel expenses, including any related reports.

  • Examines accounting source documents for accuracy, completeness and compliance with departmental and state rules, regulations and agreements.

  • Investigates and reconciles complex accounting discrepancies related to Payroll, Time & Labor and Travel.

  • Processes or audits various departmental vouchers, invoices or deposits for purchases or contracted services; prepares vouchers authorizing payments and processes for distribution.

  • Responsible for handling specific complex accounts or transactions related to Payroll, Time and Labor or Travel Expense, Citibank Airfare, Direct bill hotels and Hotel Engine.

  • Performs other job responsibilities as assigned.


The required competencies for this job include:

  • Auditing and investigative methods, practices and procedures

  • Applicable laws, rules and regulations related to Payroll, Time and Labor, Travel and Accounts payable

  • Applicable mainframe systems and applications, such as USAS and TINS

  • Applicable computer operating systems and relevant applications such as PeopleSoft HCM or FSCM software preferred

  • Researching, analyzing and interpreting policies and state and federal laws and regulations related to Payroll, Time and Labor and Travel

  • Public relations for maintaining effective working relationships with individuals and groups

  • Analyzing and organizing business and technical data

  • The responsibilities associated with administrative practices and procedures to include writing, editing and report writing techniques, recording meeting notes, record keeping and records management

  • Communicate effectively

  • Exercises logic and reasoning to define problems, establish facts and draw valid conclusions; makes decisions that support business objectives and goals


This job requires the following:

  • Bachelor's Degree in Accounting or Business-related discipline

Work Experience

This job requires the following:

  • 2 years in Accounting,Bookkeeping,payroll processing

  • Experience can be satisfied by full-time or prorated part-time equivalent

  • No supervisory experience required.

  • Relevant experience may be substituted for education on a year per year basis.

Licenses and Certifications

The following Licenses and/or Certifications are required for this job:

  • Valid Driver's License

SKILL REQUIREMENTS: This position requires incumbent to have general office skills, such as typing and filing, as well as basic understanding of the policies and programs of their school or office. Incumbent must be able to perform a wide variety of duties simultaneously and respond to interruptions. This position requires the ability to operate office equipment such as computers, calculators/adding machines, copiers, and Dictaphones. Incumbent should have strong interpersonal skills and knowledge of school policies and procedures are necessary to respond to inquiries from parents, teachers, students, and other staff members. Prefer incumbent type accurately at 30 words per minute. Employees in this position must be able to read, write, and speak/communicate in English in order to receive and to provide work-related information in a timely manner to other employees, supervisors, principals, school personnel, volunteers and where appropriate, visitors and students. JOB PURPOSE AND RESPONSIBILITY: Incumbent performs detailed and varied clerical duties primarily related to attendance procedures. ESSENTIAL FUNCTIONS: * Maintains daily Attendance Registers by posting and balancing procedures. * Prepares necessary attendance reports for Child Accounting and Texas Education Agency (TEA). * Registers and withdraws students. * Maintains certain files related to attendance. * Provides student absence information to Attendance Investigators and outside agencies. * Performs routine typing and clerical tasks. * Verifies student addresses quarterly. * Responsible for letters to parents notifying them the student will lose credit for course because of absences (Policy 5110.2). OTHER DUTIES AS ASSIGNED: Perform other related duties as assigned; however, all employees are expected to comply with lawful directives in rare situations driven by need where a team effort is required. PHYSICAL EFFORT AND WORK ENVIRONMENT: Work is performed in a standard office environment or in a school office environment. Frequent interruptions of work interfere with concentration and task completion, and peak workloads occur every six (6) weeks. This position will require extended periods of sitting and/or standing. This position may involve rare exposure to blood or body fluids. Regular attendance is required for this position. PERSONAL WORK RELATIONSHIPS: Incumbent reports directly to the Principal, and may supervise student aides. Incumbent will provide guidance and consultation to teachers and other school staff members. Incumbent will have contact with Child Accounting regarding student absences and provide information to outside agencies as well as Attendance Investigators.
