We are seeking an Accounts Payable clerk. This position provides general accounting, clerical and technical assistance. In this role, you will code and enter vendor and sub consultant invoices, process expense reports and check for accuracy, approvals and policy adherence. You will investigate and resolve vendor billing errors as well as answer employee and vendor questions. You may produce memos or emails on engineering accounting questions, client billing, invoices, contracts and reconciliation of accounts. You may assist the payroll department as needed. This position includes clerical functions such as filing, copying, data entry and preparation of reports.

RESPONSIBILITIES:

  • Review, validate, code, input and post incoming vendor invoices in Accounts Payable

  • Review, validate, code and check for FAR (Allowable) of employee expense reports.

  • Prioritize and process payments of Employee Expense, Vendor Invoice and Sub consultant bills on a weekly basis

  • Respond to all vendor inquiries; Reconcile vendor statements, research and correct discrepancies

  • Maintain files/documentation thoroughly and accurately.

  • Work with the A/R team member to reconcile variances that occur in the application of cash

  • Set up new projects, make transfers of employee billable hours and/or expenses, and open and close projects, phases and tasks in company system.

  • Recommend and implement agreed process improvements.

  • Assist in month end closing

  • Annual 1099 maintenance & assist in reporting

  • Assist payroll as needed

  • Perform special clerical duties for the Controller and others.

QUALIFICATIONS:

  • Two years of related experience as an accounting clerk, specialist or coordinator; AP experience is a plus

  • Degree in Accounting/Finance is a plus

  • Intermediate knowledge of Excel

  • Experience with BST or other project based accounting software is a plus

This position will play a key role on a highly functional Accounts Payable team. As an Accounts Payable Specialist, you will be responsible for the day-to-day processing of vendor invoices, both inventory and non-inventory related, as well as reviewing exceptions from the 3-way match. This role is a highly communicative position that requires problem-solving with both internal and external partners. This role will also have the ability to participate in the month-end close process. Your Impact * Process vendor invoices through Grove's EDI system as well as manual invoice entry that are received for payment * Researching and resolve discrepancies from the 3-way match review for inventory invoices * Partner with merchandise and inventory teams to establish and execute process for resolving merchandise payable matters * Responsible for onboarding new vendors while ensuring the proper approvals are met * Prepare and review payment runs for accuracy, payment terms and proper approval * Assist with month-end close by completing various journal entries and reconciliations * Communicate effectively to promote favorable partnerships with internal and external customers * Contribute to other strategic projects and initiatives as needed About You * Bachelor's Degree in Accounting, Business, Finance or Information Systems, or other relevant field2+ years of relevant accounting or accounts payable experience * Excellent written and verbal communication skills * Proficient using the Microsoft Suite * Successful in a fast paced environment where thousands of invoices are processed each month * Knowledge & understanding of the inventory transaction flow within the financial statements * Highly developed communication and interpersonal skills * Must be able to work independently and solve problems with efficiency * Experience in retail or eCommerce is a plus * Experience with Netsuite is a plus Let's do this We're building a diverse and inclusive work environment where we learn from each other.
