Accounts Payable / Payroll Specialist (Part-time 20-30 hours per week, unaffiliated position)
The Accounts Payable/Payroll Specialist is responsible for managing all aspects of accounts payable within the school district. This staff member also completes various payroll processing tasks and serves as a back up to the Payroll and Benefits Coordinator. This position plays a crucial role in ensuring accurate and timely payments to vendors and employees.
Accounts Payable Responsibilities:
Process invoices, purchase orders, and expense reports for payment.
Verify accuracy of invoices, ensuring proper coding and approval.
Reconcile vendor statements and resolve discrepancies in a timely manner.
Maintain accurate records of accounts payable transactions.
Communicate with vendors regarding payment inquiries and issues.
Assist in month-end closing activities related to accounts payable.
Payroll Processing Responsibilites:
Assist with the preparation and processing of a biweekly payroll for all employees, including teachers, staff, and administrators.
Ensure accuracy of timekeeping and PTO records and resolve discrepancies as needed.
Calculate and process payroll deductions, including taxes, benefits, and garnishments.
Generate payroll reports for review and analysis by management.
Stay up-to-date with federal, state, and local payroll regulations and ensure compliance.
Address payroll-related inquiries from employees in a professional and timely manner.
General Responsibilties:
Collaborate with other departments to ensure efficient workflow and timely processing of financial transactions.
Assist in the development and implementation of policies and procedures related to accounts payable and payroll.
Maintain confidentiality of sensitive financial information, including information for labor negotiations.
Participate in training and professional development opportunities to enhance job knowledge and skills.
Perform other duties as assigned by the supervisor.
Qualifications:
Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred. An Associate's degree plus 2 years of relative accounting experience can be substituted for a Bachelor's degree.
Minimum of 2 years of experience in accounts payable and/or payroll processing.
Proficiency in accounting software and Microsoft Office Suite, especially Excel.
Strong attention to detail and accuracy.
Excellent organizational and time management skills.
Ability to communicate effectively, both orally and in writing.
Knowledge of relevant federal, state, and local regulations governing accounts payable and payroll.
Preferred Qualifications:
Experience working in a school district or educational institution.
Familiarity with accounting principles and practices specific to the education sector.
Experience with Munis financial software and Frontline Absence Management software.
Working Conditions: This position typically operates in an office environment. Some flexibility in working hours may be required during peak periods, such as payroll processing deadlines. Between 20-30 hours per week.
Physical Requirements: The Accounts Payable and Payroll Specialist may be required to sit or stand for extended periods and occasionally lift or move objects weighing up to 20 pounds.
Salary: $28.50 / Hour
