The Community Charter is seeking an Accounting Coordinator for the 24-25 SY
Reporting Relationship
The Accounting Coordinator reports to the Comptroller.
Essential Duties and Responsibilities
Key Responsibilities & Outcomes
Financial Record Keeping:
Maintain accurate and up-to-date financial records using accounting software.
Record and reconcile financial transactions, including bank reconciliations, accounts payable and receivable, payroll allocations, and general ledger entries.
Generate financial reports as required by the Comptroller and other stakeholders.
Review general ledger accounts monthly to ensure proper allocation of expenditures.
Preparation and completion of close out of fiscal year annually
Budgetary Support:
Assist in the preparation and monitoring of annual budgets in collaboration with the Comptroller and relevant department heads.
Track budget expenditures and ensure compliance with budgetary guidelines.
Provide support in forecasting and financial planning activities.
Accounts Payable and Receivable:
Process invoices, purchase orders, and reimbursements in a timely manner.
Coordinate with vendors and stakeholders to resolve billing discrepancies.
Prepares annual 1099's for vendors
Prepare reports and bill lists for monthly Finance and Facilities Committee meeting
Ensure required vendor documentation is maintained
Monitor accounts receivable and follow up on outstanding payments.
Payroll Administration:
Assist in processing payroll, including calculating wages.
Ensure compliance with federal and state payroll regulations.
Address employee inquiries related to payroll.
Prepares and reviews annual W2's.
Prepare monthly Payroll Summary for Finance and Facilities Committee meeting
Prepare and submit TPAF/FICA monthly reimbursement
Prepare Pension quarterly reports
Submit monthly pension payments
Audit and Compliance:
Assist in the preparation for annual CAFR.
Maintain documentation and records to ensure compliance with regulatory requirements.
Implement internal controls to safeguard financial assets and mitigate risks.
Support with collection of Financial Disclosure
Financial Analysis:
Conduct variance analysis and identify trends to support decision-making processes.
Provide insights and recommendations to improve financial performance and operational efficiency.
Cross-Functional Collaboration:
Collaborate with other departments, including administration, human resources, and academic teams, to support financial initiatives and resolve issues.
Serve as a resource for staff regarding financial policies and procedures
Performs other duties assigned by the Comptroller.
Qualifications
Bachelor's degree in Accounting, Finance, or a related field.
Previous experience in accounting or finance roles, preferably in an educational or nonprofit setting.
Proficiency in CDK accounting software and Microsoft Office Suite, particularly Excel.
Strong analytical and problem-solving skills.
Excellent attention to detail and organizational abilities.
Effective communication skills, both written and verbal.
Maintains confidentiality of sensitive information.
Ability to work independently and collaboratively in a fast-paced environment.
Familiarity with GAAP (Generally Accepted Accounting Principles) and regulatory compliance requirements.
