The Role

Southtrees mission is to reconnect people to the things that matter most. As the Accounting Clerk at Southtree you will assist the Accounting Team and management with accounting, record keeping, and preparing end of month financial reports. Southtree is a fast-paced, dynamic work environment that is constantly evolving and changing, and we are looking to add a team member that is ready for the challenge.


Roles and Responsibilities

  • Assist with maintaining accurate accounting records by filing invoices, cash receipts, and other documents.
  • Review invoice documentation for necessary approvals and completeness.
  • Maintain vendor files including requesting W-9s, invoice documentation, and other information as needed.
  • Follow up with vendors on miscellaneous billing issues.
  • Assist with preparing EOM journal entries.
  • Assist with generating EOM reports for management.
  • Record customer payments, reconcile to customers AR balance, resolve discrepancies, and follow up with customers for payment.
  • Process outgoing mail requests, faxes, and other administrative tasks.

Background and Experience

  • Bachelor's degree
  • Experience as a bookkeeper or office administrator, preferred
  • Intermediate knowledge of Microsoft Word and Excel, required

Work Hours: Employee will work a maximum of 29 hours weekly, approximately 5.8 hours daily. Typically 9 am - 2 pm Work Location: 501 W. 12th Street, YFD Administrative Office. Advise and Coordinate with YFD staff and vendors to insure proper documentation support purchase request. Input information into the Oracle procurement system to create purchase requisitions. Review all vendor invoices for appropriate documentation. Route invoices/receiving documents to appropriate staff for approval when necessary. Respond to vendor inquiries, and research and resolve any open issues in a timely manner. Process receiving documentation into the Oracle Purchasing Receiver System to facilitate vendor payments by the Accounting Department. Other duties as assigned. Minimum Qualifications:Three years of any combination of relevant education, training, or experience sufficient to perform the essential duties of the job will be considered. Examples of relevant education include an Associate's degree or equivalent from two-year College. An example of relevant experience is three (3) years of technical and clerical accounting work. Must be able to pass a background check to work with children. Must be able to work when needed. Supplemental Information:KNOWLEDGE AND SKILLS: Knowledge of basic accounting principles; applicable terminology in assigned area of responsibility; applicable Local, State and Federal laws, rules, and regulations; bookkeeping principles and practices; governmental accounting and auditing procedures; applicable terminology in assigned area of responsibility; cash handling procedures; customer service principles; mathematical principles; account research techniques; and, modern office equipment. Skill in prioritizing and assigning work; reconciling accounts; keyboarding; operating a computer and related software applications; providing customer service; handling cash; applying Local, State and Federal laws, rules and regulations; entering data into computerized systems; filing; performing mathematical calculations; handling multiple tasks simultaneously; analyzing information and accounts for discrepancies; operating modern office equipment; and, communication and interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction. PHYSICAL DEMANDS: Positions in this class typically require: reaching, fingering, grasping, talking, hearing, seeing and repetitive motions. WORK ENVIRONMENT: Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
