Robert Half Finance is looking to hire an Accounting Clerk for a well respected, growing organization. In this position, your responsibilities will include matching invoices to purchase orders and/or vouchers, performing data entry tasks and supporting the process of Accounts Payable, Accounts Receivable, Payroll, and various other administrative duties. Major responsibilities

  • Perform general accounting tasks, such as G/L account reconciliation and month-end closing, and other ad hoc projects.

  • File vendor invoices and disbursements and match file A/P invoices to support accounts payable.

  • Classify documents with the proper expenditure codes and accounting codes.

  • Assist with processing payroll, creating payroll reports, and update Excel spreadsheets.

  • Use a variety of sources to prepare statements and reports.

  • Process daily invoices/credit, apply cash receipts, and help with collection of past due balances to support Accounts Receivable.

  • Resolve discrepancies by examining possible sources of disagreement, recreating likely actions, and identifying the effect on other accounts; generate correction documents as required.

  • Use various methods to add financial information to journals and ledgers.

Requirements

  • 3+ years of experience as an Accounting Associate processing AP, AR, and Payroll.

  • AA or BS/BA in Accounting or related field preferred but not required.

  • Microsoft Excel experience.

  • Spreadsheet and ERP system experience suggested.

  • Ability to multitask, collaborate and communicate well with individuals of all backgrounds in a fast-paced environment. This position requires an accounting background with an emphasis on payroll. The best candidate would be detail oriented, have excellent organizational skills and be a great problem solver. Critical and Analytical thinking skills are essential. The essential job duties for this position are as follows: Process all invoices from suppliers Maintain accounts payable and process payments Review and resolve vendor discrepancies Process invoices to customers Process and maintain all accounts receivable Monitor all past due accounts receivable and interfaces with accounts payable department of customers Maintains payroll and time clock punches as well as issues paychecks Works with purchasing to reconcile invoices and purchase orders Creates and maintains financial records for completed document files Assist in analysis support and reporting as needed by accounting administrator Process incoming mail and distributes Assists in general administrative duties when needed Work Detail: Payroll: \tGather, total timecards weekly- apply paid time off as appropriate, calculate OT hours \tEnter hourly totals and verify deductions weekly to Paylocity payroll software \tPrepare payroll batch weekly to submit for review and processing by Tues noon \tRecord and maintain earned time accrual balances- Excel and Paylocity balances \tPrepare and transmit 401k contribution collected to 401k fund management \tPayroll reconciliation to GL balances Accounts Payable: \tReceive invoices via mail, email, originals in delivery, etc \tMaintain record of date received, date entered and date paid to monitor processing \tReview and verify receipts to expense reports per guidelines \tAt receipt of invoice- record on weekly cash sheet to forecast cash requirements Receive packing slips, etc from shipping/receiving- match to appropriate invoice \tRetrieve signed PO record- verify authorization limit and signature \tMatch invoice-PO-packing slip for qty & price \tMonitor due dates \tReview GL accounts for accuracy (department, budget responsibility) \tProcess matched invoices to software and file pending payment \tReconcile discrepancies with supplier /supply chain / receiving as needed \tMonitor vendor returns and process debit memos as requested \tScan invoices for fixed assets for file \tRecord out of state purchases of consumed goods for use tax monthly listing \tPrepare and process monthly use tax filing \tMonitor weekly received records to look for invoices - contact supplier as needed \tPrepare pre-payments as needed for first of month payments \tApply pre-payments disbursed in previous month \tPrepare cash disbursements weekly separate for wires/checks \tPull invoices due for payment to verify approval / quality clearance to pay \tVerify cash forecast total compare to disbursement totals analyze if different The best candidate should be able to: Maintain prompt attendance Build quality into work and has authority to ensure processes are consistent with quality objectives in performing all job duties Actively contributes to department and company goals and controls and can assist with suggestions for improvement, when necessary, in all areas of cost reduction, processes, quality and productivity.
