The Accounting Clerk is responsible for entering production data and reporting results, entering receipts for raw materials and other goods and services, processing invoices, assisting in the month-end close process and performing receptionist/ clerical duties as needed.
What You'll Do:
Accounts Payable (25%)
Process invoices without purchase orders, ensuring correct account coding is used
Review and resolve all Purchase Order related invoicing issues
Investigate and resolve problems by working with corporate accounts payable, plant team members, managers and vendors
Track down invoices from vendors as needed
Coordinate with buyers to have Purchase Orders updated as needed (with appropriate approvals)
Assist with vendor management, including new vendor set-up and on-going maintenance
Manage open receipt resolution and matching invoice issues (GRIR process)
Assist in managing open purchase orders to keep up-to-date and accurate so the information may be used in budget management and cost forecasting
Receiving (20%)
Enter receipts for all packing slips and delivery tickets, ensuring accuracy, completeness and policy compliance
Reconcile Excel spreadsheets for raw materials on a weekly basis using vendor statements
Follow up on aged open receipts for resolution
Act as a backup for storeroom receiving
Production Entry (25%)
Record production data in SAP and Access daily deadline
Resolve any discrepancies between hand-written paperwork and operations system
Reconcile production data by end of day
Send out production scorecard to the plant daily
Manage movement of damaged and obsolete inventory
Maintain movement of inventory through the quality process
Month-End Support (10%)
Assist with cycle counts of raw materials, as needed
Prepare details for use in various accruals and processing recurring journal entries at month-end
Complete the month-end Production Reconciliation for SOX support
Complete the confirmation that all invoices and receipts have been completed for the close period
Confirmation Error Report processing for the period
Administrative Tasks (10%)
Complete clerical duties including filing and archiving documents, distributing incoming mail and deliveries
Maintain office supply inventory levels and ordering ad hoc office supplies
Answer phone and direct calls as needed
Read and respond to email each day
Ad Hoc Tasks (10%)
Assist with reconciling inventory cycle counts
Assist with basic cost accountant duties, where needed
Assist with ad hoc projects as they come
What You'll Bring:
High school diploma or GED required
Associate's degree in accounting or related field is preferred
No experience necessary; Accounting experience desirable
Manufacturing experience a plus
Experience with an computer and MS Office skills, especially Excel, preferred
Excellent customer service skills both in-person and over the phone
Be curious, take initiative, and ask questions
Detail oriented with a concern for accuracy and ensuring that processes and tasks are completed correctly
Solid organizational skills with ability to manage time and resources to ensure work is completed
Take action that is consistent with available facts, constraints, and probable consequences; seek guidance from finance leadership as needed
Reliable, detail oriented, ambitious, works well in a fast-paced environment with minimal supervision and regular interruptions
Solid grasp of Excel; confident using an ERP system and other databases
Strong verbal and written communication skills
Collaborate as part of a team towards common goals
Ability to work overtime as needed (primarily during month-end close)
Willing to wear safety PPE (Personal Protective Equipment) as required
