The Accounting Clerk within the Office of the Chief Safety Officer will work at the Public Safety Building as an integral part of the finance team. We seek a dynamic and innovative individual who will be able to assist with: processing of invoices, transaction reconciliation, department deposits, fingerprint services, phone calls and emails, and other office duties as assigned. The Accounting Clerk should effectively and efficiently collaborate with their fellow team members to ensure a positive experience for external and internal customers and colleagues.

Responsibilities

Job Responsibilities:

  • Performs routine transactional accounting work.

  • Validates bills, and audits commercial invoices to establish compliance of terms and reconciles discrepancies which may occur.

  • Prepares journal entries required for the entry of data into the general accounting system.

  • Compiles financial and business transaction data from source documents for processing, and document retention.

  • Produces invoices within predetermined parameters.

  • Reconciles financial data and/or invoices, reports discrepancies and outliers.

  • Reviews source documents for completeness and accuracy.

  • May assist in receiving, greeting, and directing visitors of the Public Safety Building. May oversee visitors requiring building access.

  • Provides assistance to other members of finance and administrative support team.

  • Performs administrative tasks as assigned.

  • Supports fingerprinting services.

  • Utilize communication technology (Microsoft Teams, Office, etc.) to notify staff of visitors, vendors, and/or department updates.

  • Creates and maintains files, electronic and/or physical, as assigned. (Word, Excel, Outlook, etc.)

Problem Solving

The incumbents in this position are expected to be familiar with the department's policies and procedures and are required to have a working knowledge of University and department organizations and procedures in order to answer and assist staff and visitors.

This position requires the successful completion of a criminal background check and drug screen.

Minimum Qualifications

One year of experience performing accounting functions and preparing related reports, or equivalency (one year of education can be substituted for two years of related work experience); the ability to use standard office machines, calculators and data input terminals; and demonstrated human relation and effective communication skills required.

Preferences

Experience in an office setting. Experience with Microsoft systems (Word, Excel, Teams, etc.).
