Job Title - Accounting Assistant

Assist in the management of A/P and A/R accounting functions and other general tasks

  • Responsible for preparing bank reconciliation statements in xTuple on a monthly basis
    • Match up payments and credits in tuple with payments on bank statements
    • Prepare journal entries, debit and credit memos and vouchers for payments and credits listed on bank and credit card statements
    • Reconcile deposits and payments
  • Entering Sales Orders
    • Must work well with sales team
    • Learn our ERP software program, Xtuple to enter sales orders
  • Prepare payroll
    • Maintain time records in TimeTrax system
    • Enter hours, vacation time and holidays into Engage payroll system
    • Track vacation and sick time for each employee in excel spreadsheet
  • Assist in collection of past due invoices for sales managers
    • Contact payable departments to expedite invoice payments
    • Print and mail monthly customer statements
  • Receptionist duties
    • Greet customers in the lobby
    • Answer the phone in a professional and enthusiastic manner
  • Assist Controller
    • Daily responsibilities
    • Projects
    • Fill in with A/P duties when necessary
  • General duties
    • Manage office supplies
    • Filing
    • Scanning orders
    • Administrative duties as required
  • Training: xTuple, Payroll Systems CPS, Engage web-based payroll entry



  • 1 year experience in an accounting clerk function (or related position)
  • Customer service experience necessary
  • High school graduate
  • Some college accounting classes preferred
  • Microsoft Office 365: Word and Excel proficiency

Major Accountabilities: Assists intermodal operations team employees in the performance of the movement of freight (loads) by performing the following duties: * Obtains necessary or required documentation from vendors, customers, or service providers. * Reviews invoice accuracy, completeness, required attachments, and fuel service charges (FSC's). * Maintains the invoice hold report – to ensure timely submission of invoices to the customers. * Databases entered loads with a minimum of in gate on a daily basis. * Responds to and is accountable for the Databased, not invoiced over 10 days report – escalating any invoice outstanding over 23 days to immediate supervisor for assistance, and reporting to accounting weekly on any invoices outstanding over 30 days. * Daily Prints and distributes payment exception report forms (PERF's) assists intermodal team with research, resolution, and response as needed. * Maintains and performs daily filing of load information obtained from intermodal team, sales and vendors. * Performs or assists personnel with tracing loads by calling on deliveries and empty containers. * Assists customer service personnel by monitoring the movement of freight to ensure timeliness of freight transfers and deliveries. * Provides regular status reports of shipments in progress to customers as needed or required. * Complies with all company rules, policies, and procedures. Works and behaves safely by following all safety rules and regulations. * Assists with investigation, research, and responses to discrepancies between actual and "Profile" invoicing as requested. * Assist with "Pool Management" and equipment procurement, as needed. * Performs any task required to support customer requirements and company goals. Essential Skills/Experience: * High school diploma or general education degree (GED) required. * Strong interpersonal and demonstrated verbal and written communication skills, including excellent telephone skills. * Strong ability to plan, prioritize, and manage multiple tasks. * Must work well with others, including vendors, suppliers, and internal and external customers to achieve common goals. * Ability to develop understanding of intermodal transportation industry. * Ability to accurately input and edit transaction data, in a timely manner, (including accessorials and discrepancies) in the Company's computerized order-entry system. * Must possess a working knowledge of MS Office programs or other comparable computer software programs. * Must possess and exercise excellent customer service skills at all times. * Must consistently demonstrate professional and pleasant behavior and effectively communicate in stressful situations and/or environments Other Skills and Experience preferred but not required: * One or more years related experience and/or training preferred. * Four-year degree from college or university preferred.
