Core Responsibility:

Working closely with the Client Director team, collaboratively maintain and develop a portfolio of clients by providing high quality advice, communication project consultancy and world class project implementation.

Other responsibilities, including:

  • Day-to-day account, project and stakeholder management;

  • Project-specific consultancy and best practice; and

  • Coordination and management of internal and external production resource

  • Project-specific accountability and quality (including complex copy accuracy).

  • Supporting communication ROI measurement, learnings, analytics and insights.

Industry knowledge:

  • 3 5 years relevant experience.

  • Creative agency, consultancy or HR communication experience required.

  • Project and client management experience required.

  • Supplier and stakeholder management required

  • In depth understanding of our strategic and tactical communication proposition, and a broad understanding of how that fits in the overall picture of corporate strategy, vision, values, employee behaviours and engagement, HR, Comp. & Benefits and Pensions provision.

Summary:

  • Accountable for the day-to-day quality, timeliness and overall standard of all project work produced for assigned clients.

  • Ownership and coordination of client projects.

  • Manage projects in line with our processes, to ensure quality and efficiency.

  • Financial management estimating and budget management.

  • Tactical consulting and problem solving.

  • Attend client meetings, conference calls and manage the day-to-day relationship with assigned clients.

  • Maintain relationships with our suppliers print management, estimates, POs, spot- checks.

  • Provide a professional, high quality service to all clients, colleagues and other third parties.

  • Mitigate project conflicts by proactively seeking outcomes that are acceptable to all stakeholders.

  • Build strong, collaborative and respectful relationships with our suppliers, enabling seamless delivery and management of third party services such as printing and video production.

Core day-to-day responsibilities will include:

  • Plan and lead client and internal meetings and conference calls where required.

  • Identify opportunities to provide project consultancy and advice on communication best practice to challenge and influence clients' thinking.

  • Accountable to the client for the quality and service level provided on a day-to-day basis and the quality of all aspects of project implementation (i.e. accuracy regardless of department).

  • Advise clients of the best approach to a communication project in relation to their challenges.

  • Compile and manage annual budgets and project estimates. Manage and maintain all aspects of these budgets. Regularly monitor time accrued against project budgets and agreed specifications and proactively challenge or raise issues with appropriate stakeholders (internal and external) at the earliest opportunity.

  • Implement projects following all applicable internal and external processes. Actively contribute to the development of these processes where they may be able to be improved or do not provide the most effective or efficient approach, yet ensuring the overarching purpose of the process is not compromised.

  • Create and take responsibility for schedules to deliver projects within agreed timeframes. Work collaboratively with the Client Director/Associate Client Director to coordinate and manage the appropriate resource for a project and ensure that the resource is fully briefed and clear on their responsibilities, allocated time and deadlines.

  • Manage the all stages of a project (including, but not limited to, briefings, checking drafts, implementing amendments, proofreading, print management and spot checking when required) to ensure the project is delivered on specification and to the highest quality.

  • Support other team members as required to ensure world class project implementation.

  • Contribute to the development of creative campaigns that align with project requirements and, where appropriate, support the delivery of an overarching communication strategy.

  • Where required, draft and edit clear, creative and technically accurate communications that achieve their purpose within a communication strategy.

  • Liaise with internal teams on daily basis to plan and manage workflow requirements.

  • Work closely with and assist in the development of Associate Consultants and others within the team as directed by line management.

  • Support with planning and preparation for senior stakeholder meetings, workshops and focus groups as required.

  • Support Client Directors/Associate Client Directors to help clients to achieve their business objectives through the planning and implementation of an effective communication strategy.

  • Accommodate ad-hoc client requests (e.g. arranging a reprint of a document or letterheads, supplying samples).

Administration:

  • Weekly completion and distribution of client status reports (using the template) during live projects.

  • Completion and distribution of contact reports within 48hrs of a client meeting.

  • Ensure all jobs have a statement of work reviewed and approved by internal stakeholders and the client.

  • Saving all project documentation and client approvals to the job folder on the server.

  • Accurately record all chargeable and non-chargeable time within your timesheet, completing full statements of activity when required.

  • Post project profitability report and learnings document.

  • Case study creation.

  • Liaise with suppliers to chase invoices for the monthly invoicing process, where required.

  • Complete expenses forms ensuring that all expenses are recoverable.

Person Specification:

Qualifications:

  • Evidence of Continuing Professional Development (CPD) as required to maintain and enhance your knowledge and skills.

Experience:

  • 3 5 years relevant and demonstrable experience within similar role.

  • Creative agency, consultancy or HR communication experience strongly desired.

  • Project and client management experience required.

  • Supplier and stakeholder management required.

  • Proven project management capability and experience.

Skills and knowledge:

  • Service orientated: outstanding customer service, ability to translate client needs, demonstrates commerciality in their actions, management of expectations, developing and maintaining strong relationships.

  • Excellent organisation skills, with ability to work to tight deadlines and manage multiple tasks.

  • Core consulting skills in communication and project implementation, including: proactivity, questioning, listening and taking a collaborative/partnership approach with clients (not order-taking).

  • Ability to work under pressure, solve problems and develop workable solutions.

  • High level of accuracy and attention to detail in all areas of work, including ability to produce high standards of documentation.

  • Confidence to challenge and negotiate with internal and external stakeholders when required.

  • Able to deal with change in a positive way.

  • High level of proficiency in Microsoft Office and computing skills.

  • Creative and technical copywriting and copy-editing.

  • Experience of proofreading.

  • Basic presentation preparation and delivery.

  • Strong verbal and written communication skills.

Other:

  • Clean driving licence and access to a car is preferable.

  • Travel to various locations, including international travel may be required.

  • Working outside of core office hours to accommodate international clients is occasional required.
