At Diverzify and our partner brand of families, we believe our associates are at the heart of our organization. The Account Coordinator has a key role in our business. We are looking for highly motivated and energetic individuals to grow with us and become leaders in their fields. In this position, you will be responsible for processing all entries of invoices, job costing, reconciling, and payment processing in a timely and accurate manner.

Here's what you can expect...

  • Uses knowledge of Customer Service, Sales, for Flooring Installations to make the customers happy and keep the projects moving

  • Reaches out to installation PMs & partners for pricing, and assists in the development, pricing, and administration of contracts for floor covering sales and installation

  • Prepares internal job costing and sends bids or quotations for customer review and enters all manual invoices and AIA pay files into WinBid

  • Handle and research vendor inquiries on credits, disputed items, and invoicing problems. Follow the procedure for the resolution of problems (pricing, PO accuracy) that are not in your department.

  • Processes customer flooring installation orders and schedules installations create work orders for in-house labor

  • Advises installation partners via knowledge of installation procedures for our products

  • Sends Subcontracts to Installation partners

  • Uses keyboarding, data entry skills, and computer programs (Excel, Word, SAP, CRM, etc.)

  • Process installer payments and review all invoices to insure they are properly approved, or product received prior to receipt and/or voucher entry. Also, verify billing to the customer prior to check processing.

  • Interacts with people from various departments and across all partner brand families.

  • Tracks, reports, reconciles projects, and accounts receivable, and maintains accurate data contract files (i.e., accurate account numbers, invoices tracking, etc.)

  • Sometimes holds or attends conference calls with customers, installers, GCs, Architects, etc.

  • Ships track and expedite flooring products and supplies shipments

  • Backs others in the department, as needed and Cross trains in all facets of the department (and company)

  • Process all vendor invoices and Installer labor payroll on a weekly basis following procedures. (i.e., provide all prevailing wage / certified payroll documents and track compliance)

  • Other duties as required or assigned by management

Job Requirements:

  • High School Diploma/GED
  • Accounting background

Preferred Qualifications:

  • 2 years' experience working in an administrative role preferred.
  • 2 years' experience working with Google, Excel, and Microsoft office preferred.
