The City of Phoenix Law Department is looking for an Account Clerk III to join their team. This department consists of three divisions: Civil, Criminal, and Management Services with 255 employees. This position will support both the Civil and Criminal divisions primarily focused on processing invoices, utilizing the City's accounting system, and maintaining logs/tracking sheets for billing. The key function of the Account Clerk III is to perform paraprofessional accounting work.

Duties may include:

  • Managing the Oulook mailbox and invoice processes.

  • Reviewing incoming invoices for accuracy.

  • Logging invoices in various excel spreadsheets and case management system.

  • Routing invoices for approval.

  • Building rapport with internal and external customers.

  • Creating, reviewing, and/or auditing daily and/or monthly accounts of reports, logs, or financial records.

  • Determining correct activity, sub-object code, and account number for posting and paying invoices.

  • Entering and/or releasing payable documents in the accounting system.

  • Researching, preparing, and processing Payment Control documents.

  • Filing documents.

  • Reconciling receivable and payable statements, reports, logs, and/or other documents.

  • Preparing various financial related reports and records.

  • Responding to inquiries and requests for information from vendors, other City departments, and customers.

  • Performing shopper functions of City eProcurement system.

  • Researching and troubleshooting issues associated with the Law Department third party eBilling vendor.

IDEAL CANDIDATE

Will demonstrate the following:

  • Basic knowledge of contracts and ordinances.

  • Good communication skills.

  • Exceptional computer skills.

  • Ability to:

  • Work independently, multitask and be highly organized.

  • Make mathematical calculations rapidly and accurately (examples: add, subtract, multiply, divide, and use percentages).

  • Respond to inquiries and requests for information from vendors, other City departments, and customers.

  • Create, review, and/or audit daily and/or monthly accounts of reports, logs, cash receipts, invoices, or financial records.

  • Proficiency in Microsoft Word and Adobe Acrobat.

SALARY

Pay Range: $19.07 to $29.58 per hour.

Hiring Range: $19.07 to $26.83 per hour.

MINIMUM QUALIFICATIONS

  • Three years of bookkeeping and clerical accounting experience,

  • Including experience in preparing financial reports,

  • Supplemented by courses in bookkeeping and accounting.

  • Other combinations of experience and education that meet the minimum requirements may be substituted.

PREFERRED QUALIFICATIONS

The minimum qualifications listed above, plus:

  • Experience working in a customer service environment.

  • Experience in/with:

  • Reconciling receivable and payable statements, reports, logs, and/or other documents.

  • Performing highly detailed data entry in a fast-paced environment, and maintaining/auditing records.

  • Processing invoices to include; researching, preparing, and processing Payment Control Documents.

  • Utilizing accounting software such as SAP and Excel log tracking.

  • Receiving and disbursing payments, balancing daily receipts, and preparing production reports using spreadsheets or daily balance sheets.

  • Determining correct activity, sub-object code, and account number for posting and paying invoices.

  • Using Case Management Software and Document Management Software.

  • Entering and/or releasing payable documents in the accounting system.

  • Working with Contracts/Ordinances.

  • Managing invoice processing.
