JOB OVERVIEW: The purpose of this position is to maintain the records and accounts for the Construction, and Design Divisions of the Highway Department, and answer and direct telephone calls as appropriate. This position acts under the supervision of the Administrative Assistant Senior.

RESPONSIBLITIES:

  • Prepares accounts payable and receivable, invoices, purchase orders, and expenditure reports, including entering data into the computer for Construction, Design, and Maintenance divisions of the Highway Department.

  • Prepares and prints accounting reports.

  • Reconciles, prints, and distributes monthly budget reports.

  • Verifies employee time cards and prepares payroll records for the Construction Division along with preparing the vehicle usage.

  • Creates, files, maintains parcel records , and records Deeds and Easements.

  • Maintains accounts for parcels related to all ongoing road projects.

  • Requests funds for land parcels purchased. acquisition. Assists the Right-of-Way Specialist with Special Agreement documents.

  • Assemble Parcel files for MoDOT Review and Approval.

  • Request Travel Authorization, request payment, and register Highway employees for Seminars.

  • Assists Right-of-Way Specialist as needed also assists other staff members with assignments as needed, including filing, processing mail, copying, data entry, and employee training.

  • Processes and organizes a wide variety of miscellaneous files relevant to the Highway Department's Construction, and Design Divisions.

  • Acts as backup for department receptionist and answers and directs incoming telephone calls as appropriate.

  • Prepares files and work orders as necessary.

  • Prepares, orders, and distributes uniform and boot orders for Construction division of the Highway Department.

  • Other duties as assigned.

REQUIREMENTS:

  • Education

  • General/tech high school diploma or GED equivalent.

  • Job Experience

  • 1-3 years of experience.

  • One to two years experience with additional accounting course work.

  • Knowledge, skills and abilities

  • Experience working in an office setting and/or as an account clerk.

  • May telecommute on occasion.

Requires successful completion of computerized clerical skills testing with the following minimum scores:

  • Data Entry and 10 Key = 6000 KSPH
  • Microsoft Word = 50%
  • Microsoft Excel = 50%
  • Basic Math = 85%
