General Summary:
This position performs tasks in the Access Services department, and at the Front Desk, to provide library users with access to library materials and service.

Job Description:

  • Provides exemplary customer service to library patrons and models a positive and helpful attitude for student employees.

  • Instructs and supervises student employees in the use of library systems and equipment (i.e. library catalog, ILS, print system, POS) as well as library policies and procedures (i.e. consortial borrowing, course reserves, shelving, customer service).

  • Uses specialized knowledge of ILS to manage and maintain services in area of individual responsibility (i.e. Course Reserves, Stacks Management, Fines & Billing, Technology).

  • Provides assistance to library users in the operation of various pieces of library technology and equipment. Coordinates the proper functioning of library collection of technology tools.

  • Assists at library service points such as the Research, Reading, and Writing Studio to aid patrons with technology or writing questions.

  • Performs all circulation services, from routine to complex, as well as makes decisions concerning exceptional circumstances, e.g., waive and/or explain fines and library policies, extend loan periods, and authorize lending privileges in special circumstances.

  • Uses problem solving skills to analyze, negotiate and resolve, or report, library user complaints concerning building, equipment, or service.

  • Substitutes and performs the duties of absent staff and student employees as needed.

  • Assumes responsibility, with other staff members, for the safety and security of staff, students, equipment, and materials in the building as well as during any emergency. Serves as a Building Emergency Coordinator.

  • Responsible for opening and closing (securing), and maintaining the operations of the library building and Access Services as assigned. The person in this position will typically work an evening/closing shift Sunday through Thursday, but scheduling needs may change.

  • Proficient with Microsoft Office products such as Outlook, Word and Excel.

  • Performs other related duties as assigned.


  • Bachelor's degree, some coursework in library science a plus.

  • One year of public service experience required, two years preferred. At least one year of library experience, preferred.

  • Supervisory experience a plus.

  • Excellent verbal and written communication qualifications and excellent organizational skills and attention to detail.

  • Ability to work in a team.

  • Able to effectively use SPU supplied office equipment and software applications, as well as other software necessary to fulfill duties of this position.

  • Experience with a Library resource management system, preferably Ex Libris Alma; HTML, XML, a plus.

Housing and Food Services (HFS) is pleased to announce an opening for a Financial Systems Specialist - Student and Financial Services (Program Operations Analyst). HFS provides on-campus housing and dining to over 7,800 student residents each year. We employ over 1,200 classified, professional staff and student staff members who work throughout HFS, providing residential and dining services to the campus. PURPOSE Oversee and manage user aspects of Housing & Food Services (HFS) financial systems and their integration with other HFS and University systems. Serve as the expert on financial business systems, ensuring maximum utilization, appropriately trained personnel and timely problem resolution. HFS financial systems include: MS Dynamics GP ERP, Workday HR & payroll ERP, and Questica Budget, as well as additional systems that support or enhance HFS financial processes. This position is responsible for exercising independent judgment in interpreting and applying rules and regulations as they relate to data and system maintenance. This position supports HFS operations and ensures that department activities conform to institutional and department policies and regulations. Exercises substantial responsibility to ensure program success. Utilizes specialized knowledge of the finance program to allocate resources and establish policies, methods, and procedures for the program. Play a key role in upcoming University systems replacements (UW Finance Transformation), providing leadership with respect to transition and integration for HFS systems and staff. RESPONSIBILITIES For assigned systems and customers/end users, Applications Support – 40% Provide technical expertise and lead coordination of all activities related to analysis, design, application support, implementation, training and support for all existing and future HFS financial systems. Serve as subject matter expert for HFS financial systems, HFS credit card processing program and PCI compliance efforts. Coordinate with management, technical staff, and users to establish, design, and test requirements for multisystem interfaces. Respond to and provide direct support for system issues reported by users; work closely and collaboratively with HFS IT and subject matter experts in troubleshooting issues and make recommendations for solutions. Project Participation – 30% Participate in the implementation of new University business systems. Identify the most effective path to integration with HFS business systems. Coordinate HFS involvement to ensure a successful transition Coordinate projects from inception to completion oIdentify and coordinate the assignment of internal resources for assigned projects oDevelop consensus with regard to priorities and requirements oDocument, prioritize and track requests for changes and enhancements Liaise with users, HFS IT and third party vendors of finance software systems through planning, implementation, upgrade and production phases. Analyzes needs, develops requirements, documents, tests and implements end-user configuration of systems to replace manual or existing processes. Identify items needing improvement and work collaboratively to develop and implement process improvements. Identify ways to maximize use of data in support of key activities. Analyze unit's activities and trends and compares against best practices. Makes recommendations and reviews proposals for changes to existing applications submitted by users. Works with other HFS stakeholders and leadership to determine prioritization and implementation scheduling. Lead and participate in the development and execution of change management plans, testing plans, feasibility studies, and work breakdown structures. Policies, Procedures, and Training – 25% Be knowledgeable about HFS policies, analyze for potential impact on systems and procedures, develop and recommend methods for compliance, and support changes made by HFS management and administrative staff. Develop, document and maintain user manuals and operating procedures for systems; interpret and apply system policies and procedures in resolution of user problems and inquiries. Train systems personnel and users in all facets of systems, including structural concepts, input/output methods, transaction processes, and policy requirements such as fiscal or accounting requirements. Other – 5% Assist in short- and long-range planning, and achieving unit and Departmental goals and objectives. Perform related duties as required. Minimum Qualifications: Requires a bachelor's degree in Accounting, Business, Economics, Finance, Public Administration or closely related field, AND four years of related professional experience working, developing, designing, installing and maintaining complex automated management systems, or equivalent.
