Job Title: Academy Student Services Coordinator

Reports To: Academy Summer Program Manager

Classification: Salaried- Exempt

Summary:

The Student Service Coordinator provides a high-level support to the Academy staff and helps to provide a high-quality student life. Duties of the Student Services Coordinator are clerical, administrative and project-based and include tasks such as compiling Visa paperwork, coordinating appointments, and handling information requests.

Essential Duties and Responsibilities:

Include the following. Other duties may be assigned;

  • Report attendance and out ills to Artistic and Administrative Staff.

  • Coordinate the physical education credit program.

  • Work with artistic staff and Artistic Operations Manager to coordinate parent observation weeks.

  • Maintain a high level of targeted communication with parents by working with the Marketing Coordinator to create informative e-blasts throughout the year.

  • Coordinate requests for student participation for public relations and development events.

  • Assist in roommate connections for upper level students, maintain and distribute apartment guide.

  • Acquire necessary information for student VISA applications and complete full application process through SEVIS for both full year and summer programs.

  • Answer HB Academy emails and parent questions.

  • Assist students with making Doctor, Rehabilitation, and Nutrition appointments.

  • Coordinate Pilates appointments

  • Coordinate with ESL teacher for Academics

  • Support students with Career Planning by:

  • Reviewing resumes

  • Scheduling photo shoots

  • Developing portfolios

  • Research and present upcoming audition opportunities

  • Serve as liaison with the Academic Advisor with parents and Administrative Director.

  • Manage study hall calendar and attendance records

  • Gather all appropriate academic paperwork to assist advisor with academic planning

  • Distribute end of semester reports

  • Plan and execute graduation

  • Coordinate the short term stay visits

  • Securing dates, housing and transportation

  • Providing a high-quality introduction to student life

  • Special Projects:

  • -ientify and request support from CPR parents for events throughout the year.

  • Assist with the planning and execution of Methodist Events, Open House, Prom and special events.

  • Work with Principal of Lower and Middle School to increase meet and greet opportunities.

Qualifications:

Education & Experience

  • Bachelor's degree is preferred

  • 1-3 years work experience supporting students

  • Experience working with a classical ballet company or other arts organization is preferred

  • Background knowledge of dance/ ballet vocabulary preferred

Computer Skills

  • Solid writing, grammar, proof reading, editing and presentation skills

  • Basic personal computer skills including electronic mail, word processing, spreadsheet, graphics, etc.

Physical Demands:

  • Ascending or descending stair, ramps and the like, using feet and legs and/ or hands and arms

  • Ability to adjust focus (ability to adjust the eye to bring an object into sharp focus)

  • Sedentary physical activity performing non-strenuous daily activities of an administrative nature.

  • Exerting up to 25 pounds of force occasionally to lift, carry, pull, or otherwise move objects.

  • Manual dexterity sufficient to reach/ handle items and work with fingers.

Work Environment:

  • Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.

  • Regular Monday- Friday 9AM-5PM with the availability to frequently work outside of normal business hours and on weekends

This position works directly and holistically with students at various stages of their HBU experience with the goal of helping them persist and graduate in a timely manner. Job Responsibilities * Advocate for and coach a cohort of 70 students to help them succeed holistically on HBU's campus and beyond * Collaborate with other divisions of HBU, especially Academic Affairs, Career and Calling, Financial Aid, Student Involvement, Student Success, and other departments on campus to ensure students in caseload are succeeding * Recruit both current and incoming students who meet the definition of "at-risk" according to the grant standards for inclusion in a cohort of 140 individuals * Work with students to develop an educational plan with a clear pathway to graduation * Plan and deliver TRIO SSS Orientation and other workshops as needed by cohort of students * Coordinate and deliver individualized coaching and counseling activities inclusive of academic needs as well as co-curricular interests * Facilitate social and academic integration to support student engagement * Maintain frequent contact with students via phone text, email, or social media * Train student leaders on student success and mentoring in relation to 504 needs, financial literacy, academic excellence, student engagement and service, and other areas of student success and the collegiate experience * Other assignments, initiatives and duties as assigned by the Director of TRIO SSS Qualifications * A Master's degree in higher education, counseling, or related field from an accredited college or university is required * A minimum of two years prior experience in higher education with a specific focus on student success and development, working directly with students * Familiarity with academic advising, student success research, and understanding of factors that drive retention preferred * Ability to communicate with students to set and accomplish goals * Must be a good listener and must be empathetic to student needs * Must be able to completely affirm, uphold, and live within the Preamble of Houston Baptist University * Must work to further the University's vision as stated in the Ten Pillars * Be available for some night and weekend programming * Exhibit an active Christian faith with local church membership and involvement Additional Information Work Environment: The University offers a comprehensive benefits program for full time staff, including full medical/dental coverage, paid retirement, life insurance and vacation.
