Job Title: Academy Office Manager

Supervised By: Academy Program Coordinator

Pay Range: $18 - $22 per hour

Job Summary: Coordinate student enrollment, Academy marketing, act as administrative support for the Academy.

Duties and Responsibilities:

  • Coordinate student enrollment

  • Maintain max student enrollment monthly

  • Attend and coordinate community marketing events for the Academy

  • Maintain Academy marketing supplies

  • Coordinate information with the Marketing Director for all social media platforms

  • Act as administrative support for the Academy

  • Maintain spreadsheets as directed by the Program Coordinator or Program Administrator

  • Have knowledge of DORA state guidelines and regulations

  • Maintain and track student tuition payments

  • Act as an ancillary instructor as directed by the Program Coordinator

  • Follow all agency established policies and procedures

  • Ensure timely student enrollment for each class

  • Ensure that all student records are kept up and stored appropriately.

  • Ensure the Graduation Reporting Spreadsheet is submitted after each class.

  • Track, Monitor, and maintain the facilities equipment list

  • Develop and coordinate Clinical Affiliation agreements with Long Term Care facilities

  • Research and maintain a current list of agencies listed on the Loss list

  • Provides positive attitude and example of professional behavior for staff and students

  • Assist with student orientation

  • Assist instructor with scheduling students for refresher days prior to state testing

  • Attend clinical rotation days to assist instructor with supervising students

  • Participates in/attends staff development activities and in-service meetings

  • OTHER DUTIES: Other duties as assigned.

Experience Required:

  • Proven communication skills.

  • Proven ability to act as liaison among staff and community.

Qualifications/Education Required:

  • Active Colorado CNA license

  • 1 year working as a Licensed CNA

  • High school diploma or GED

  • College degree preferred

  • Marketing background preferred

  • Bilingual preferred

ABILITIES, SKILLS, AND KNOWLEDGE:

  • Understanding of DORA regulatory guidelines and licensure.

  • Excellent oral and written communications skills with proven ability to communicate with technical and

  • Non-technical users.

  • Ability to read, analyze, and interpret common scientific and technical journals, professional journals, and legal documents.

  • Ability to effectively present information to employees and community members.

  • Ability to respond timely and effectively to the most sensitive inquiries or complaints.

  • Ability to define problems, collect data, establish facts, and draw valid conclusions.

  • Ability to send/receive emails and use the internet for research and informational purposes.

  • Ability to use word processing software for communication and documentation purposes.

  • Ability to use independent judgment to manage and impart confidential information.

  • Skill to attend to multiple tasks at once which are time sensitive.

  • Basic knowledge of Windows based operating systems, and ability to advance computer skills as required.

  • Ability to establish and maintain effective working relationships with fellow employees and the public.

SPECIAL REQUIREMENTS:

  • Current TB skin tests upon hire and screening annually thereafter.

  • Possession of a valid state Driver's License with reliable transportation and applicable car insurance.

PHYSICAL REQUIREMENTS:

  • Ability to regularly sit, stand, stoop, bend, kneel, walk, balance, crouch, crawl, push, pull, reach with hands and arms, and talk and hear.

  • Ability to frequently use hands to finger, handle, or feel.

  • Ability to occasionally climb.

  • Ability to occasionally use sense of smell.

  • Ability to frequently lift and/or move up to 40 pounds.

  • Ability to use close vision, distance vision, color vision, peripheral vision, depth perception.

  • Ability to adjust focus.

WORK ENVIRONMENT:

The employee is frequently exposed to outside weather conditions.

Lighting, acoustics, air quality, temperature and environmental hazards are not predictable.

The employee is occasionally exposed to wet and/or cold conditions, fumes, or airborne particles, and toxic or caustic chemicals.

The noise level in the office work environment is usually moderate.

TRAVEL:

The employee is required to travel frequently to complete agency business.
