The College of Arts and Sciences invites applications for an Academic Records Coordinator position. The Coordinator will work with the College administrative staff and deans to provide accurate and timely information to over 10,000 undergraduate students within Arts and Sciences.

The Coordinator serves students, employees, faculty, alumni, parents, and community members with various academic requirement-related needs, and will work with multiple areas within the Undergraduate College. This is a unique position that has the opportunity to positively impact the broad scope of students and services offered by the College of Arts and Sciences, such as: tracking students pursuing all degrees in the College of Arts and Sciences; adding required information to the student information system; performing accurate entry into databases; participating in regular communication with other schools and offices within UVa; and administrative support for Association Dean(s). This position reports directly to the College Business Administrator with strong ties to the College Registrar and the College Academic Programs Manager.

A high school diploma and at least two years of administrative, student, or customer service experience is required. A Bachelor's degree is preferred and may substitute for experience.

Related experience in a higher ed academic office is also preferred. The ability to work effectively with students, alumni, faculty, employers and staff is required.

The ability to learn an array of information relative to A&S Area Requirements, services and resources is required, while general knowledge of A&S academic requirements is preferred.

In addition, the ability to evaluate/assess customer needs, apply information, and provide advice or make appropriate referrals is required. A demonstrated attention to detail and excellent oral and written communication in daily interactions is essential. The ability to manage multiple tasks and projects while meeting deadlines is also required.

The ideal candidate must have the ability to organize and prioritize assignments as well as possess effective, professional interpersonal skills. The ability to work independently or as part of a team is critical, as is knowledge of general record-keeping practices. The candidate must also possess a working knowledge of Microsoft Office Suite (with a focus on Excel and/or Access) and Database applications. MS Office applications, SIS and SIS discover are preferred.

The anticipated hiring range for this position is $40,000 - $45,000.

UREG is responsible for the maintenance and integrity of current and former student academic records and activities related to those records. The Academic Records Specialist works closely with other members of the Academic Records Team in UREG in maintaining student academic records. They process academic record actions in the Student Information System (SIS), including grade changes, withdrawals, transcript notations, primary name changes, and enrollment requests. They support graduation processes, including degree conferral, diploma production and distribution, and related actions in SIS. They also serve as a member of the Student Support Services Team in UREG, responding to students, families, and others who need information related to academic records at UVA by telephone, email, or in person. They fulfill requests for academic transcripts, complete enrollment/degree certifications, and provide general information about UREG's processes. This position has direct interaction with students, faculty, school, and department contacts. Responsibilities * Process grade changes, withdrawals, transcript notations, primary name changes, and enrollment requests * Monitor Academic Records folder in UREG email daily and alert team members of complex requests or actions; coordinate division of responsibilities in folder and track completion of requests * Collaborate with Academic Records team members to analyze complex problems and share responsibility for their resolution * Communicate and collaborate effectively with team members to ensure academic records work is completed accurately and in a timely fashion * Perform other duties as needed related to academic records responsibilities * Work closely with degree conferral coordinator on Academic Records team in UREG to confer degrees, order diplomas, coordinate diploma distribution, and handle other activities related to graduation * Prepare degree conferral reports in the University's reporting systems (UBI, SAS, and SIS Query) and communicate with degree conferral coordinator and school registrars about discrepancies or questions * Process degree conferral actions in SIS * Manage diploma replacement processes (communicating with graduates, ordering replacement diplomas, preparing diplomas for shipping) * Perform other duties as needed related to degree conferral responsibilities * Process requests from current and former students received through National Student Clearinghouse, U.S. mail, email, and in person in a timely manner (usually within two business days or less) and without errors * Update information accurately in UREG's Customer Relations Module (CRM) * Respond to queries related to on-line transcript request processes; troubleshoot problems; work collaboratively with other team members to resolve issues or recommend solutions * Respond to and redirect, as appropriate, mail received in UREG central mail account (ureg@virginia.edu) * Refer queries appropriately and professionally to other members of the UREG team and/or other offices at the university * Work with team members to document/update UREG processes in the office's on-line document repository (ViNE) * Recommend process improvements that benefit students and their families, faculty, the UREG team, and/or the university community * Research comparable practices at peer institutions to identify opportunities for improvements at UVA * Contribute to the development of a culture in UREG that is supportive, inclusive, collaborative, and healthy Required Qualifications * High school diploma with at least one year of student records experience.
