ORGANIZATIONAL SUMMARY:

The Department of English is one of the largest academic departments in the University. We offer three undergraduate degree programs, two Master's programs, an MFA program, and two PhD programs.

Our First Year Composition program serves over 5,500 students per year. We run over 400 sections of courses each semester, employing 166 teaching staff (regular faculty, visiting faculty, adjuncts, and TA's). We generate more SCH than almost any other academic unit in the university. Our faculty members are active scholars and researchers; hold editorships of journals; sit on numerous department, college, university, and professional association committees and councils; and are committed teachers.

The department sponsors an annual award ceremonies and brings in speakers at least monthly. The department, as a whole, is striving to achieve excellence and assist the university in meeting its goals.

POSITION SUMMARY:

This position performs specialized administrative work in support of the graduate programs in the Department of English and serves as a point of contact to current graduate students, prospective graduate students, and faculty on matters related to course enrollment, program requirements, policies, and procedures.

RESPONSIBILITIES:

Administer academic policies and advise faculty, staff, and students on policy matters related to the academic program. Aid in development and implementation of academic policies related to graduate student programming.

Distribute policies via handbooks, emails, and websites to students and faculty. Answer student and faculty questions regarding program policies and practices. Advise students and faculty on policies outside of department, i.e. those of the College and Graduate School.

Fulfill department or unit responsibilities for admissions recruitment and program marketing. Edit and publish informational materials for prospective graduate students in graduate recruitment brochure, in handbooks, and on department website. Act as point person for prospective student inquiries. Maintain alumni connections for assistance in recruiting new students to graduate programs.

Supervise administrative qualitative data to produce reports for internal and external use, including accreditation reviews. Track student progress and notify individual students of standing in program, upcoming benchmarks to be met, and limitations on time and/or funding (for GAs). In coordination with the Graduate Director, prepare materials and assessments for posting via online Web pages.

Coordinate PhD exam materials. Ensure that faculty and students are aware of relevant rubrics for each benchmark within each degree program. Ensure that assessment materials are updated and available to students and faculty via Canvas sites as necessary.

Coordinate admission materials submitted to the Graduate School. Organize for departmental assessment.

In coordination with the Graduate Director, communicate to applicants results of admissions. Follow up with new student registration.

Review GA contracts and tuition waivers; maintain records in communication with department staff and faculty needs.

Write reports and prepare presentations about the academic program, instructional activity, program planning, etc. Prepare and deliver presentation on graduate program policies and graduate student responsibilities to incoming students each year. Collect and report on a variety of data to Graduate Director and other department administrators as requested.

Develop semester course schedule for graduate courses in coordination with the Graduate Director, an internal schedule and in OASIS. Coordinate space requirements and classroom logistics as needed to ensure seamless delivery of instruction.

Consult with faculty to schedule graduate classes in seminar or computer classrooms as needed. Collect course information from faculty for publication in Graduate Course Bulletin for distribution to students prior to registration.

Serve as liaison with other academic and administrative departments regarding the academic program, representing the program on cross-functional teams, policy committee, and work groups. Communicate regularly with College and Graduate School staff regarding processing forms and on student issues. Act as liaison with College and Graduate School for graduate students and faculty.

Perform other administrative and analytical duties supporting the academic mission of the department, college, or unit. Attend Graduate School meetings and update Graduate Director on any new or changed policies. Certify students for graduation each semester.

POSITION QUALIFICATIONS:

MINIMUM:

This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/ technical training may substitute at an equivalent rate for the required experience.
