ORGANIZATIONAL SUMMARY:

POSITION SUMMARY:
The Academic Program Specialist performs specialized administrative work in support of an academic department program within the college. This position provides administrative coordination for assigned undergraduate and/or graduate programs, serving as a point of contact to students, prospective students, and faculty on matters related to course management and enrollment, program requirements, policies and procedures, and other administrative matters.
RESPONSIBILITIES:
Serve as student registration coordinator. Assist students regarding registration, enrollment course selection and prerequisites, drop/add needs, petitions; and course substitutions. Process and enter course schedules for assigned program(s); and process course permits.
Liaison on program completion. Notify students of deadlines to apply for graduation; point of contact for missing paperwork; communicate with students and faculty in regards to graduation barriers; field and route request for certification from graduating students.
Prepare pertinent information to notify students on university deadlines and procedures. Communicate with students on program requirements. Support faculty with students academic and program inquires and concerns.
Assist students with paperwork related to major professor and committee appointments, qualifying exams, proposal and dissertation defenses.
Serve as program(s) liaison to Student Academic Services and Graduate Studies Office departments in matters related to student success. Work with Academic Advisor to coordinate probation, dismissal and re-entry denials for students in your program(s).
Assist program coordinator with identifying graduate assistants and new/returning hires and prepare offer letters for employment.
Attend department/university meeting with and/or for program coordinator, as needed; and perform other duties as they apply to student programs for student success.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
6 years of directly relevant experience may be substituted for master's degree.
PREFERRED:
Successful administrative experience with a demonstrated record of productivity and initiative in high-demand positions. Professional writing, telephone, and interpersonal skills.
High productivity/efficiency in administrative tasks. Intermediate or higher skill level with Microsoft Office (able to perform tasks such as managing distribution lists or creating mail-merge documents, pivot tables in Excel, and summary statistical reports from pivot tables or Access files). Demonstrated initiative in problem-solving, including the ability to find and apply free available technology to job tasks (e.g., using Doodle polls to help schedule meetings).
