Job Description:

The department of African & African American Studies (AAAS) is looking to hire an Academic Porgram Coordinator. This position will provide administrative support to the department of African & African American Studies and will manage the administrative office to ensure efficiency and accuracy in meeting the needs of students, faculty and staff for the Department of AAAS.

This position assists the department chair in matters pertaining to the department's programs, coordinates most administrative activities, relieves the chair of routine administrative matters and makes independent decisions regarding business matters affecting the department. Will serve as the Cost Center Manager of AAAS.

Job Responsibilities:

Office Management

  • 40%

Serve as the initial point of contact for AAAS. Greets faculty, students, and visitors.

Answers the main office phone. Assists callers and visitors with a variety of inquiries regarding academic questions, course scheduling, and use of Workday. Contacts appropriate units regarding problems/issues.

Assist with faculty meetings. Submit work orders for facility and telecommunication needs. Maintain office supply inventory.

Order desk copies. Collects and distributes all incoming and outgoing mail. Attend appropriate trainings for job duties. Complete annual inventory for AAAS.

Academic Administrator

  • 20%

Serve as main point of contact for all academic actions and inquiries (graduate, undergraduate, majors, minors, and concentrators). Maintain spreadsheets and files for each of these groups for the department. Serve as liaison between graduate students and the Graduate School.

Manages and enters all details in Mainframe: course numbers, sections, enrollment, faculty/graduate assistant assignment, classroom, and updates schedule when necessary. Works with the Registrar and other departments concerning cross-listed courses. Serves as liaison to the Registrar's office in regard to course additions or changes.

Accounting/Budgeting

  • 10%

Oversee, process and reconcile all the department's costs for main state account, foundation accounts, and various grants. Develop and maintain various spreadsheets and specialized reports to organize data in a manner meaningful to the Chair and Dean of the College of Humanities and Social Sciences.

Reconcile ledgers each month for main department and grant accounts. Track and resolve any discrepancies. Track financial commitments from the College and maintain accurate record of travel funds available for faculty and graduate students.

Curriculum/Registration

Curriculum/Registration

  • Load courses, instructors and special topics for department adhering to University regulations and deadlines. Assists faculty with room change requests, adding students, and adjusting enrollment maxima.

    Override students into courses at that are full, with instructor's permission, and add students to courses that are designated as permission of instructor/department. Maintain file of all reports distributed by the Registrar's Office.

Student Employment Partner

  • 10%

Student Employment Partner

  • Serve as Student Employment Partner in Workday. Responsible for HR actions in Workday for student workers and graduate assistants including hiring, onboarding, job continuations, compensation adjustments, separations, new positions, and requisitions.

    Supervises, trains, and assigns job duties for student workers. Ensures all student employees document work time correctly and paid correctly and timely. Maintain fund balance for each student to ensure funding limitation is not exceeded. Serves as additional liaison to Graduate School.

Department Web Page

  • Initiate development of department web page; compose/posts news articles to department website; update faculty and graduate student information. Troubleshoot and solve minor computer problems and route more serious problems to the College of Humanities and Social Sciences IT division.

Minimum Qualifications

Education Level: Bachelor's

Specific Experience: One year of office experience in which clerical support was a major duty. Proficiency in Microsoft Office Suite

Preferred Qualifications

Specific Experience: Two years of office experience in which clerical support was a major duty. Experience with grant writing and management.
