GENERAL SUMMARY:The Academic Program & Campus Operations Coordinator is responsible for ensuring the coordination, facilitation and implementation of academic services and programmatic activities for the assigned program and campus.
Responsible for planning, coordinating and implementing activities in support of campus programs and services.
In coordination with the marketing team, plans open house events for prospective students and prepares local distribution of communications. Assists the Campus Director and Academic Program Directors in coordinating events with external community groups, health care organizations, alumni and individuals.
Oversees the planning and coordination of all aspects of the classroom/space allocation for the campus for the assigned degree program(s), student engagement and community events; troubleshoots and escalates issues as they arise.
Serves as campus liaison to assist with on ground the coordination for purchasing, capital projects, space design, remodels, and maintenance projects. Facilitates the development of campus emergency procedures; responds to building and campus emergencies and contacts appropriate administrator for immediate follow up regarding incidents; and ensures proper documentation and reporting procedures are met.
Performs special projects for the Campus Director as requested.
Assist the Program Director to ensure program initiatives are on track and progressing as per established timelines.
Prepare and furnish relevant information about the program for the web site, catalog, accreditation, student and faculty recruitment and marketing operations; prepare, edit, and proofread documents, ensuring quality of all outgoing correspondence.
In collaboration with the Program Director, ensure all program changes are communicated properly and in a timely manner to all stakeholders.
Assist the Program Director in the dissemination of proactive communications for faculty, staff and students.
Assist the Program Director as needed in support of accreditation initiatives.
Coordinate office procedures including correspondence, appointment scheduling, maintaining program specific equipment and functions.
Attend department meetings and any scheduled retreats. Prepare agendas and record minutes and handouts. Distribute minutes on a timely basis.
Gather data for the Program Director that will be used to monitor student attrition and retention levels.
Assist the Program Director in preparing and transmitting correspondences, when indicated, formal responses to students using established approaches and templates, allowing for the Program Director's personalized response to the student.
Coordinate with Student Advising team to support the student experience, including, as approved by the Program Director, outreach directly to students who have academic or process questions or matters of academic concern.
Assist the Program Director in maintaining the data for faculty to include updates CVs, transcripts, continuing education requirements and all programmatic accreditation related documents.
Serve as a subject matter expert with respect to the faculty database (Interfolio) to include regular follow-ups with faculty to ensure the required data and documentation is entered and up to date.
Assist the director in tracking faculty workload to comply with program goals; assist the Program Director in coordinating course assignments.
Assist with the annual performance management process; process confidential faculty evaluations at the end of each term
Interact with faculty, staff, students, alumni, visitors or outside agencies to relay University information, policies, procedures and activities. This includes mail, email, faxes and telephone messages.
Prepare, mail-out and compile data from surveys of alumni and their employers.
EDUCATION and/or EXPERIENCE:
Bachelor's degree in Business, Marketing, Communications or Education or related field with seven to ten years of progressively responsible administrative, marketing and/or public relations experience.
Demonstrated experience working with the community building productive relationships.
Experience in higher education is highly preferred
Communications and marketing concepts and practices; public relations principles; group facilitation, influencing and negotiation techniques; analytical methods and techniques; area resources; needs assessment methods; project management principles and techniques.
Demonstrated experience planning and executing projects; effectively manage resources and meet timelines; conduct needs analysis and compile and analyze data
Ability to analyze problems and identify alternative solutions
Proven experience coordinating activities with other internal departments and external organizations; working with diverse academic, cultural and ethnic backgrounds of students and staff.
Excellent communication skills, both verbal and written.
Willingness to work a flexible schedule when required.
Must have excellent project management skills, the ability to manage competing priorities, and the ability to build and maintain strong partner relationships.
Demonstrated ability to establish and maintain positive working relationships with the external community, students, professional staff/faculty and co-workers.
Advanced experience with Microsoft Office products such as Windows, Word, Excel, PowerPoint required
