Summary of Position

Red Rocks Community College seeks applications for an organized, detail-orientated individual to join our team as an Academic Affairs Support Specialist. Under the leadership of the Manager of Academic Affairs Administrative Support, the Academic Affairs Support Specialist performs a broad range of duties in support of Academic Affairs Division. Duties include processing faculty workload assignments, faculty credential collection and analysis, procurement, and budget processing, tracking assessment data and administrative tasks.

Essential Responsibilities

Generate and submit workload forms in Banner. Enter workload data into the Faculty Load and Compensation system.

Process and verify completion of compensation faculty contract. Input class schedule into Banner. Receive class schedule from department Chair/Lead and validate the accuracy of the schedule.

Data entry. Credentialing CTE faculty.

Request and receive academic transcripts and verify that a faculty member's academic preparation meets College and System standards for faculty.

Review transcripts to determine if they meet the requirements for appointment within their discipline and refer questions to respective Dean of Instruction or Asst. Dean of Instruction. Monitoring designated program budgets, preparing budget documents, monitoring compliance with budget guidelines and makes recommendations to the Dean regarding budget adjustments. Manage and support purchasing in alignment with college procedures.

Qualifications

Required Qualifications: Four (4) years of administrative, clerical assistance or customer service experience.

Education/Experience Substitution (if applicable):A Bachelor's degree from an accredited institution or an associate degree from an accredited institution with two years of full-time equivalent experience may be substituted for the four years of administrative, clerical assistance or customer service experience requirement.

Preferred Qualifications:Experience working in diverse communities and supporting the success of individuals from racial, ethnic, and gender backgrounds that are underrepresented. An associate degree from an accredited institution. One (1) year experience in processing payroll, and one (1) year experience in processing event scheduling.

Required Knowledge, Skills, Abilities:Ability to work from campus (primarily our Lakewood campus with occasional hours at the Arvada campus). Knowledge of computer enterprise systems.Knowledge of accreditation standards. Skill in communicating effectively in oral and written form.

Skill in project management and independent problem solving. Ability to work independently and prioritize tasks. Ability to utilize computer technology for communication, data gathering and reporting activities.

Physical and Cognitive Demands:The following are some of the physical and cognitive demands commonly associated with this position.

  • This position operates in a standard office and/or classroom environment. Constantly uses a computer and routinely uses standard office equipment including phones, copiers, etc. Requires the repetitious movement of hands, wrists, arms.

  • Cognitive demands include comparing, copying, computing, compiling, analyzing, coordinating, synthesizing, negotiating, communicating, instructing, and interpersonal skills.

  • The person in this position constantly communicates with internal and external constituents and students. Must be able to exchange accurate information in these situations.

  • Occasionally moves, positions, and transports equipment and supplies weighing up to 10 lbs.

Department Information: Work is performed in a standard office environment.

The office is open M - F, 8:30am to 5:30pm. May require hours outside of regular office hours, and occasional weekend hours.

Work Environment and Typical Work Schedule:Works directly with professional staff (Deans, AVP and VPAA) and other support specialists in the Academic Affairs division. Interacts with a variety of college employees at every level of the organization, faculty, adjuncts, and academic affairs professionals at other higher education institutions.Work is performed in a standard office environment.

Starting Salary:Starting salary is determined by education and experience in accordance with our compensation plan.
