General Characteristics: The Security Specialist assists with the development and implementation of a multi-disciplined security program for complex, major acquisition Security Access Program (SAP) efforts. The position requires a basic knowledge of the personnel, industrial, physical, IT/IA and information security disciplines. Duties include: * Ensure facility compliance with all policies and directives * Assist in the development of security plans and procedures for safeguarding classified information * Assist with and present indoctrination, debrief, and refresher training for program briefed personnel regarding obligations to protest classified information * Ensure adequate secure storage and work spaces for customers, assist with conducting annual inventory of accountable classified material. Identify and requisition equipment and supply needs Coordinate tests, inspections, repairs of program facilities * Provide security support (access verification) at program working groups/conferences * Maintain all required facility paperwork and accreditations. Ensure proper handling of classified materials * Maintenance of DOD required office files, to include destruction program materials, and secure fax operations. Ensure the proper handling of classified materials; proper inventory and labeling of all existing media within facility; proper marking of classified materials * Transmit accomplished PIAs and PARs * Complete and track Program Access Request thru DCADS * Control visitor ingress/egress, answer phones, escort visitors and interface with senior level government and corporate officials and their staffs. Verify visitor clearances. Coordinate conference room meetings. Escort non-cleared personnel. Brief visitors to security requirements of facility * Prepare documents for receiving packaging, shipping and secure transmissions and, courier letters for designated couriers * Perform general clerical duties as required * Complete required training. Qualifications: * Education/Degree Requirement: Bachelor's or AAS Degree. Relevant experience can be substituted for the degree requirement * 1-3 years of broad general security experience * Possess basic knowledge of personnel, industrial, physical, IT/IA and information security disciplines * Must possess excellent oral and written communication skill * Must have exceptional interpersonal skills and ability to communicate effectively with all levels of staff, and visitors * Security Clearance Requirement: Must have Top Secret current within the past 5 years. This person performs clerical and administrative functions such as greeting guests, employees and visitors, drafting correspondence, incoming/outgoing mail, scheduling appointments, organizing and maintaining paper and electronic files, and coordinating location activities. * Receives and greets visitors, employees, customers or other business partners, ensures they follow all visitor security protocols and guidelines. * Coordinates all visitor, employee, customer and/or other business partner inquiries, and directs them to the appropriate persons according to business needs. * Audit visitor security log daily and report any security variances. * Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals. * Data entry from multiple sources into MS Excel spreadsheet or database applications. * Operates office equipment such as fax machines, scanners, copiers, and phone systems, and uses computers for spreadsheet, word processing, database management, data entry, and other applications. * Opens, reads, routes, and distributes incoming mail and other material and answer routine letters. * Completes forms in accordance with company procedures. * Makes copies of correspondence and other printed materials. * Coordinates and maintains up to date vendor/supplier certification program. * Sets up and maintains paper and electronic filing systems for records, correspondence, and other material in support of record retention program. This includes confidential filing and recordkeeping. * Opens, routes, and distributes incoming mail and other material and answer routine letters. * Support outgoing parcel activities. * Completes forms in accordance with company procedures. * Makes copies of correspondence and other printed materials. * Orders all office supplies, business cards and company stationary. Ensure company approved logos for correspondence is followed, i.e. stationary and business cards. Order from approved sources. * Composes, types, and distributes emails, routine correspondence, and reports. * Maintain and coordinate company meeting room space for engagement activities, meetings and training sessions. * Coordinate and support business and employee engagement activities, to include meal and space planning. * Adhere to the Saputo code of ethics and actively apply the Saputo values. * Work together professionally in a team environment with coworkers and other department personnel. * Maintain plant visitor calendar and coordinate meetings (candidates, clients, vendors, suppliers, customers, visitors). * Provide Plant Manager with administrative support as necessary. * Support other departments as needed and perform other duties as required by management. Job Requirements * High School Diploma or equivalent. * Minimum of 2 years office experience, preferably as an Administrative Assistant. * Proficiency in Microsoft Office Suite, including Excel, PowerPoint, and Microsoft Word. * Ability to demonstrate a high degree of initiative. * Excellent verbal/written communication skills. * Ability to communicate with others at all levels in organizations. * Strong organizational skills and the ability to multi-task. * Ability to maintain the highest level of confidentiality. * Ability to adapt to changing organizational and operational needs.
