The purpose of this job description is to communicate the responsibilities and duties associated with the position of LEASING CONSULTANT. While the following information should be considered a comprehensive description of this position, it should also be noted that some responsibilities and duties may not be specifically addressed. The LEASING CONSULTANT is the property's sales representative whose primary duties are to greet prospects, present professionally the features and benefits of their assigned community and secure lease agreements from qualified persons. The LEASING CONSULTANT is very service oriented and strives to make current residents feel welcome and comfortable in their community. The LEASING CONSULTANT will contact a person of authority should any situation warrant an action or decision not included in his or her duties and responsibilities. It is imperative that you review these duties, skills and physical requirements closely and that you understand that, by signing the Job Description Acknowledgement, you are verifying that you can perform all the duties, have the skills and possess the physical abilities that are necessary to perform the job as described. Non-Exempt (ELIGIBLE FOR OVERTIME) Conducts all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act and the Fair Credit Reporting Act. Abide by all federal, state and local laws and any other codes pertaining to apartments and property management. Leasing/Marketing: o Maintains a professional and friendly demeanor in the leasing office and other areas where prospective residents and /or current residents meet. o Inspects model and "market ready" vacancies daily to ensure cleanliness. o Greets prospective residents, qualifies, determines needs and preferences, and professionally presents community and specific apartments while communicating features and benefits. o Ensures property is leased to the fullest capacity and in accordance with budget guidelines and goals. o Utilizes marketing strategies to secure prospective residents. Welcome and show property to prospective new residents. o Answers incoming phone calls and handles each call accordingly, whether it is a prospect call, upset resident, service request, etc. Transfers calls to Assistant Manager or Property Manager when appropriate. o Continually monitors and analyzes traffic, conversion ratios, renewal information, and marketing data to be able to give up to date information when requested by others. o Maintains awareness of market/industry conditions and trends via trade publications, professional organizations, etc. o Updates unit availability daily to provide accurate list of unit availability. o Prepares lease documents and related paperwork. Administrative: o Completes Guest Card information form on all prospects, sends thank-you notes and performs follow-up. o Correctly completes all lease applications, assists with application verification and notifies prospective residents of results. o Completes all lease paperwork including related addenda and accepts rents and deposits. o Inspects apartments prior to any scheduled move-in, walks move-outs and inspects vacancies. o Physically inspects property when on grounds, picks up litter and reports any service needs to maintenance staff. o Records miscellaneous resident communication as needed. o Inventories office supplies on periodic basis. Reports needs to Property Manager. o Organizes and files appropriate reports, leases and paperwork. o Assists Property Manager and Assistant Property Manager in preparation of daily and weekly reports, resident communications, move-out inventory, market surveys, etc. o Confirms that all leases and corresponding paperwork are completed and input in the system accurately and in a timely manner. o Updates records as necessary. Resident Relations: o Handles resident concerns and requests with a positive customer service attitude to ensure resident satisfaction with management. o Communicates with tenants regarding any property events that may cause disruption in their normal course of business. o Makes periodic inspections with current residents making courtesy calls and with recent move-in/move-outs. o Reviews all notices to vacate to determine the cause of move-out. o Assists Property Manager by developing and implementing resident retention programs like resident events, special promotions, monthly newsletters, etc. o Ensures distribution of all company or community notices. Maintenance: o Provides follow-through and assistance to Property Manager and support groups in coordinating the on-going maintenance of the property. o Maintains community appearance and ensure repairs are noted and completed which requires regular community inspections and tours. o Ensures that models and market ready apartments are walked on a regular basis and communicate any service related needs to maintenance. Ensure that all service requests are recorded and communicated appropriately to maintenance. o Updates make-ready boards indicating vacant status and verify accuracy on a daily basis. o Coordinates with maintenance and make-ready staff to ensure timely recondition of apartments after move-out. Personnel Management: o Assists Property Manager with training all on-site staff in order to achieve operational goals of assigned property. This includes new employee indoctrination, instructing and advising on-site staff of employee procedures and guidelines as directed by the Property Manager. o Ensures efficiency of staff through on-going training, instruction, counselling and leadership; e.g. Leasing paperwork, workplace safety, and any other type of training that may be needed on a daily basis. o Provides support to staff and encourages team work. Safety: o Be responsible for after-hours and emergency on-call coverage. o Reports all liability and property incidents to your supervisor and corporate office immediately. General: o Strives to make the living experience, particular the first and last impressions, of the highest quality. o Introduces resident to our apartment procedures. o Performs any additional duties or tasks as assigned by the Property Manager, Area Manager and/or Regional Manager or any other supervisor assigned to the property during scheduled absence of regular supervisor. Requirements Real Estate License, or Leasing License, as required by State. Requires good sales and/or leasing skills. National Apartment Leasing Professional (NALP) desired. Computer proficient and type at least 30 words per minute. Demonstrates ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions and initiate appropriate course of action. Ability to interact efficiently with prospects, residents, peers and management. Achieve Fair Housing certification prior to interaction with prospects or residents. Must possess a positive attitude under all circumstances. Competence in personal computer skills, keyboard, internet search, math, Microsoft Office Suite including Word, Excel, and Outlook as well as community software applications. Participates in training in order to comply with new or existing laws. Be able to work evenings and weekends if requested. 20-40 hours per week depending on whether a full or part-time employee. Employee will be required to work a flexible work week. Presents self in a neat, clean and professional manner at all times throughout the workday and/or whenever present at the community. Comply with expectations as demonstrated in the Employee Handbook. Stand and walk or sit alternatively depending on specific needs of the day. Estimate 70% of time is spent on feet and 30% sitting at desk. Must be able to work with minimal supervision, report to work regularly and on-time, and be self-motivated. In this role the employee may be subject to engine fumes, vehicle emissions, dust, and engine noise. The agent is required to check baggage and parcels weighing up to 75 lbs. which involves carrying, bending, lifting, and turning. The agent is also required to meet arriving aircraft by standing to operate a mobile mechanical jet-bridge with a length of up to 110 ft. and weighing approximately 57,000 lbs. It is required that the agent can use depth perception and peripheral vision to extend and position jet-bridge observing all stationary and moving vehicles in the immediate area. Open and close aircraft cabin doors, without assistance, by pushing, pulling, reaching, bending and twisting. What will I be doing? As a Guest Services Agent, you would be responsible for greeting and registering guests and checking guests out of the hotel in the hotel's continuing effort to deliver outstanding guest service and financial profitability. Specifically, you would be responsible for performing the following tasks to the highest standards: * Greet guests and complete the registration process to include, but not limited to, inputting and retrieving information from the computer, confirmation of guest information and room rate, selection of rooms, coding electronic keys, promoting marketing programs, providing a welcome packet and ensuring guest knows location of room and/or has a bell person accompany him/her * >Assist guests with check-out including, but not limited to, ensuring rooms and services are correctly accounted, using the point-of-sale system, handling money, processing credit and debit cards, accepting and recording various forms of payment, converting foreign currency, making change and processing gift certificates and cards * Demonstrate a thorough knowledge of hotel information including, but not limited to, room categories, room rates, packages, promotions, the local area and other general product knowledge and answer guest questions and inquiries * >Use up-selling techniques to promote hotel services and facilities and to maximize room occupancy * Respond to guest inquiries and requests and resolve issues in a timely, friendly and efficient manner * Field guest complaints, conduct research and resolve and negotiate solutions for guest satisfaction * Receive, input, retrieve and relay messages to guests What are we looking for?
